FFV Capital is a mortgage administration company focused on private mortgages in Ontario. It is sister company to Fast Forward Ventures – a private lending business established in 2015.  
Job Summary:

This is an extremely dynamic role “Jack/Jill of all trades role” that encompasses: executive assistance, operations, finance, real estate deal analysis and business development. 

Reporting to Diana House, and directly supporting Jeff and Diana House - you are the dynamic, finance oriented executive assistant that creates order in chaos, systems and processes in a fast pace start up/ high growth environment and “manages up” to allow the founders to stay in their zones of genius. You are coachable, smart, professional, a problem solver and a force to be reckoned with. You have a “whatever it takes” attitude and are scrappy (in the entrepreneurial sense) and find a way to make things happen. Your attention to detail and organization is world class. You find other people’s mistakes and bring solutions rather than problems to the table.  You are a master at calendars, diarizing deadlines, work back plans and balancing high priority items and day to day operations simultaneously. 


Core Accountabilities:

  • Anything and everything that the founders need support with both within the business and personally to ensure they are focused on the most high-value activities only.
  • Provides full administrative support to Company founders as needed 
  • Owns all day to day operations of the business
  • Financial experience with bookkeeping, excel and cash flow.
  • Source and analyzes real estate deals and mortgages and presents to Founders. 
  • Communication with customers and investors. 
  • Creation and maintenance of Systems and processes 
  • Calendar management of the founders
  • Answers company email inquiries, greets visitors, and acts as main reception desk.
  • Opens and segregates mail. 
  • Ensures the office is organized, clean and stocked
  • Orders office supplies and coordinates service calls for the office.
  • Use professional judgment to screen, prioritize and determine actions for the workday.
  • Ability to quickly assess and prioritize interruptions, and filter distractions so they do not impact the founders.
 

Required Skills/Experience:
  • A College diploma in Business Administration is preferred.
  • One to three years’ experience working in a dynamic office administration role
  • Previous Executive support to a C Level Executive is an asset. 
  • Extremely organized and process oriented
  • Proven ability to find and streamline inefficiencies in work flows, including building and improving company systems and processes.
  • Excellent communication skills – verbal and written, including impeccable spelling and grammar. Strong knowledge of G Suite and MAC computers.
  • Proficient in operating and trouble-shooting various office equipment including printers and WIFI routers
  • Has own vehicle and driver’s license to carry out Company errands and tasks for Company founders.
