School Secretary
Montessori Academy of London invites a warm, cheerful individual to support its administrative team for the upcoming school year. This is a full-time permanent position beginning August 10, 2026.
You will be the first person to greet anyone who walks into our school, setting the tone for the individual's experience in our community, so a welcoming presence is a must. In this role, you will perform a variety of activities that support the full administrative team. Guided by our values of Montessori, curiosity, respect and community this role offers the opportunity to inspire parents, students and community partners at the first hello.
Responsibilities

Provides general administrative assistance to staff and faculty, such as word processing, documentation, copying, printing, distribution, filing, data entry, in-coming and out-going mail and courier, interoffice mail, and processing correspondence of various types.

Assists Admin team in maintaining information and records using database and content management systems such as Blackbaud (migration currently in place to Veracross) and Google Drive/Docs.

Understands and promotes the Academy’s vision, mission, and goals to students, parents, and community.

Handles special administrative projects, as well as overflow work from the Admin team members.

Ensures completion of paperwork, sign-in and security procedures.

Organizes printing and distribution of communications as needed.

Contacts vendors and couriers, and coordinates repairs of clerical office equipment.

Support inventory and ordering duties of school supplies, first aid supplies, gym wear, spirit wear, office supplies and various subscriptions held by the school.

Collects various monies for multiple events and sales; handles petty cash and office deposits.

Carries out responsibilities as required by the Administrative Team, including:

Fundraising: utilizing the fundraising database to print thank you letters for donors, sponsors and volunteers; administrative support for events

Communications: review and proofread content as needed; update family and community distribution lists; share information via parent app; prepare material for back-to-school communication.

Occasionally support administrative needs outside typical office hours for larger school events.

Other responsibilities as assigned.
Qualifications and Skills
- Exceptional communication skills, both written and verbal, with a strong attention to detail.
- Strong collaboration skills, self-motivated, organized, able to multi-task and prioritize jobs to meet deadlines.
- Ability to remain calm and courteous under pressure and in the midst of the busyness.
- Proficient computer skills: Microsoft Teams based applications, Google Suite. Working knowledge of Blackbaud (Education Edge/Raiser’s Edge) is an asset, however training is available.
- Diploma or Certification in Office Administration is an asset.
- A current Police Vulnerable Sector Check is required as a condition of employment.
