Logistics Coordinator

Position Summary
The Logistics Coordinator is responsible for supporting the efficient coordination of shipments while ensuring excellent customer service and accurate documentation. The successful candidate will work closely with clients, vendors, and carriers to facilitate import and export operations across air, ocean, and land transportation.
This role requires strong organizational abilities, attention to detail, effective communication skills, and a service-oriented mindset.

Key Responsibilities
Client Service & Communication
  • Follow up with vendors and clients regarding RFQs (Requests for Quotation) for import and export shipments by air, ocean, and land.
  • Prepare and distribute sales emails and newsletters to support business development and client engagement.
  • Maintain professional communication with carriers, vendors, and clients to ensure timely updates and positive customer experiences.
Freight Coordination & Quoting
  • Obtain freight quotes from carriers, negotiate competitive pricing, evaluate rates, and communicate shipping estimates to clients.
  • Coordinate and book shipments while ensuring all shipment and order details are accurate and complete through effective communication and coordination with carriers and clients.
  • Track and monitor shipments and provide clients with timely updates regarding shipment status and estimated arrival times (ETA).
Documentation & Record Management
  • Maintain accurate and up-to-date shipping records and ensure all information is properly entered into frieght management systems.
  • Prepare export declaration documentation and E-manifest entries for import shipments.
  • Prepare invoice for clients and vendors while ensuring accuracy and timely processing.
Problem Solving & Operational Support
  • Assist in reducing demurrage, identify and resolve issues related to shipment tracking, documentation, and administrative processes.
  • Support continuous process improvement initiatives to enhance operational efficiency and service quality.
  • Ensure compliance with company policies, procedures, and applicable transportation and customs regulations.
  • Perform additional duties as assigned.

Requirement
  • Knowledge of customs documentation, commercial invoices, tariff codes, and product classifications.
  • Understanding of customs regulations, procedures, and international trade compliance requirements.
  • Previous exposure to freight forwarding or logistics operations.
  • Proficiency in Microsoft Office Suite, including Excel and Outlook.
  • Excellent written and verbal communication skills.
  • Strong organizational, time-management and problem-solving abilities.
  • High attention to detail and accuracy.
  • Familiarity with global time zones and international geography.
  • Must be able to lift 50 pounds.

Education & Experience
  • Grade 12 diploma or post-secondary education in a related field.
  • Minimum of 2 years of related experience in freight forwarding, transportation, or logistics services is considered an asset.

Working Conditions
  • This position is on-site at our facility in London, Ontario.
  • Day shift schedule: 8:00 a.m. to 4:00 p.m.
  • Flexibility to accommodate scheduling changes as operational needs require.
Pay : CAD 20/hour
