SALARY RANGE: $46,159 - $61,043
HIRING RANGE: $46,159 - $58,914
DATE OF VACANCY: As soon as possible

POSITION SUMMARY:

The Assistant, Board Services provides secretarial support to the Supervisor, Board Services

by assisting with various functions related to the legislative and corporate requirements of the Board.
The incumbent is responsible for: providing administrative support, including handling sensitive and
confidential materials; gathering documents/materials and compiling meeting package information;
scheduling meetings; maintaining Board policies and procedures, Education Centre door and access
card security; providing administrative support to the International Education Department;
responding to and/or redirecting inquiries/communications; and completing special projects.

KEY RESPONSIBILITIES:
  • Create/edit/distribute agenda packages for multiple meetings, attend Board/Advisory Committee meetings to record minutes according to Robert’s Rules, maintain records per the retention schedule and post for public record
  • Facilitate the management of Board policies and procedures, including permanent retention, posting to the website, supporting policy and procedure review process
  • Facilitate and support the process for recruitment and contracting of new agents in the International Education Department
  • Reconcile monthly/yearly accounts for Board Services, International Education and Records Centre
  • Manage door security and key card access
WORK PERFORMED:
  • Coordinate and plan the Board’s standing, statutory and ad hoc committee meetings, and Administrative Council meetings
  • Assist with organization of bi-weekly Board meetings
  • Maintain the Board official and legal records, policies and procedures
  • Ensure appropriate documents are posted to the Board website
  • Coordinate and manage the years of service recognition program
  • Maintain a record of deferred Board motions and other Board business
  • Compose and write minutes for approval by the Board
  • Coordinate Trustee dinners
  • Assist with the organization of the Board’s annual retirement reception
  • Prepare correspondence and materials as requested
  • Maintain records and provide building access through electronic security passes
  • Prepare purchase orders and cheque requests
  • Assist Trustees in the absence of the Administrative Assistant, Trustees
EDUCATION/EXPERIENCE/QUALIFICATIONS: 
  • Completion of a two (2) year post-secondary program in Office or Business Administration or equivalent
  • One (1) year of related work experience is required
