The Office of the Registrar supports students’ academic pursuits as well as Western’s strategic priorities by delivering an array of integrated services in a professional environment, while maintaining the integrity and confidentiality of student information throughout the student lifecycle.

Responsibilities

The Senior Ontario Student Assistance Program (OSAP) Officer has primary accountability to administer the Ontario Student Assistance Program for all eligible students on campus. This involves coordinating all application processing and working with staff and students to resolve errors. Facilitating this process involves supervision of up to 3 direct reports and up to 12 work-study students over the course of the year. The position provides information and training on OSAP programs to front-line staff throughout the Office of the Registrar, OSAP is a complex program that requires intensive training and frequent updates about deadlines and procedures. The Senior OSAP Officer will also connect with students—in person, by telephone, and by electronic mail—to assist them with their applications, and to help resolve their OSAP or Out of Province government loan problems.

The Senior OSAP Officer will contribute to the development and implementation of systems initiatives designed to address changing OSAP programs and requirements. The position will work directly and collaboratively with team members in Student Financial Services, Registrar Information Technology Services (RITS) to determine the appropriate system and process improvements to effectively deliver on OSAP program requirements.

Qualifications

Education:

  • Undergraduate Degree in Business or Finance
  • Certificate in Management (CIM) designation, or completed courses towards a recognized accounting designation is preferred

Experience:

  • 3 years customer service experience within a post-secondary environment or financial services environment 
  • 1 year experience providing leadership or supervision to a team 
  • 3 years experience working with the Ministry OSAP administration system and PeopleSoft student administration system
  • 3 years working in a financial service role in a post-secondary environment preferred

Knowledge, Skills & Abilities:

  • Demonstrated strong leadership skills with the ability to develop shared vision to lead employees to excellence.
  • Proven extensive knowledge of OSAP and all other provincial loan program policies.
  • Intermediate computer skills in Microsoft Office
  • Working knowledge of PeopleSoft HE and OSAP Administrative Portal is an asset
  • Excellent organizational skills including the ability to balance competing priorities
  • Strong attention to detail
  • Customer service orientation and ability to deal with sensitive and confidential information in a professional manner
  • Excellent verbal and written communication skills
  • Results-oriented with an ability to handle many tasks and maintain a high level of individual and team performance
  • Proven ability to take initiative and champion a project from conception through implementation and evaluation
  • Creative problem-solving skills and sound professional judgment
  • Ability and willingness to stay abreast of technological developments and adapt to new policies and procedures
