Part-time Marketing Administrative Assistant (MAC 201400102)
Marketing, Reputation and Brand Management
 
Location:  London
Employment Group:  Support
Salary: $16.77 per hour
Hours:  up to 24 hours per week
Closing Date:  April 30, 2014
 
Note: This is a part-time position (up to 24 hours per week).
 
Duties:  Under the general supervision of the Senior Manager, Marketing, the incumbent provides a wide range of secretarial, budget oversight, staff records, research and other office support services to the Reputation and Brand Management (RBM) managers. The incumbent will:
  • Monitor and reconcile departmental budgets and initiates documentation as needed
  • Assists with the development and rationalization of the departmental budget and operational issues
  • Assists with internal chargebacks between College departments
  • Proofreads marketing and communications materials as required
  • Coordinates special projects and research activities including gathering, analyzing and compiling information for reports
  • Assists with the coordination, preparation and distribution of packages, mailings, and communications
  • Arranges meetings, including the preparation of agendas and support materials
  • Researches and initiates resource materials as necessary
  • Provides necessary assistance for campus events
  • Completes and maintains staff records and documentation including appointments, Payment Authorization Forms, Time sheets, Change of Status, Attendance Reports etc.
  • Schedules and tracks departmental staff vacations and averaging of hours balances
  • Provides back-up to front office staff as needed
  • Assists with minute taking as needed
  • Performs other relevant duties as assigned
QUALIFICATIONS
  • Post-secondary 2 year diploma
  • Minimum of 3 years experience
  • An equivalent combination of education and experience may be considered
  • Experience with Microsoft Office, Word and Excel applications
  • Excellent verbal and written communication skills
