Summary of Duties:

Reporting to the Manager, Coordinated Access, the HIFIS (Homeless Individual and Families information System) Community Coordinator works independently and in a team environment to build capacity and understanding with community partners who are using or are interested in using HIFIS to collect data. The HIFIS Community Coordinator supports the local design, development and delivery of related training related to HIFIS and compliance with legislation and corporate policies related to HIFIS; provides summary data; and provides managers and HIFIS users with advice and assistance in the implementation and ongoing administration of HIFIS within the community.  

Work Performed:

  • Deliver standard HIFIS training to support community partners in the provision of effective HIFIS services.
  • Complete assignments and provide summary data using HIFIS that is used by Managers to prepare reports in support of the strategies and outcomes of City initiatives.
  • Facilitate and coordinate HIFIS user meetings; share recommendations from this group with Manager, Coordinated Access.
  • Demonstrate awareness and understanding of policy matters as they relate to divisional operations
  • Share data with non-HIFIS users where appropriate to highlight the benefits of a coordinated system and to highlight the importance of shared data as it relates to funding and resource decisions made by the City of London.
  • Facilitate the resolution of HIFIS support inquiries that are escalated through the HIFIS support desk, including necessary communications with the National HIFIS help desk.
  • Following a standard work plan, assist the Manager, Coordinated Access when implementing HIFIS access for new programs.
  • Deliver timely and accurate data requests that support customized report creations for City staff and other HIFIS service providers, including the provision of HIFIS data used by others to develop community reports.

  • Assist with the timely flow of HIFIS-related information between the relevant community parties and the City of London.
  • Maintain a roster of HIFIS experts that can provide local HIFIS training as required.
  • Provide HIFIS technical assistance based upon expertise as a HIFIS user to support the development of HIFIS user policies and procedures such as Job Aids and training materials (example: Quick Reference Guides).
  • Develop measures to evaluate outcomes and revise programs or recommend changes to systems, procedures and methodologies as necessary.
  • Support the maintenance of records and files to assist in meeting all regulatory obligations and compliance.
  • Communicate with Service Area managers, employees, intergovernmental and other agencies regarding HIFIS issues, training and legislative developments.
  • Assist the Manager, Coordinated Access as requested and perform related duties as assigned.

Qualifications:

Completion of a two-year community college diploma in Business or a Social Service Worker diploma or educational equivalent.

Completion of training to become a specialist user of the HIFIS program (offered by the City of London after hire.)

Experience:

A  minimum of one year of previous relevant experience, ideally in the homeless serving sector.

Specialized Training & Licenses:

Skills and abilities in the following areas are necessary:

Ability to develop an advanced understanding of HIFIS to help others resolve user problems and provide other users with HIFIS information requested. 

Ability to extract data from HIFIS and develop reports with summary data that provide information to support the work of the Division.

Demonstrated excellent organizational and time management skills and the ability to effectively coordinate a number of tasks simultaneously.

Demonstrated effective verbal, written, interpersonal, communication, facilitation and presentation skills.

Ability to use Microsoft Suite (Word, Excel, PowerPoint) to communicate, draft documents, sort data on excel spreadsheets and prepare presentations.

Compensation & Other Information:

$41,266 - $60,415 (Level 7)

Current hours of Work: Monday - Friday from 8:30 a.m. to 4:30 p.m. 

Work Arrangement: Hybrid. Subject to change in accordance with business requirements.

These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
