Job Description
Childcan is a registered charity that supports children with cancer and their families. The Finance and Administration manager will have a key role to play in ensuring that the charity’s finances and administration is carried out effectively and efficiently. The role requires a motivated individual with a high level of attention to detail and a commitment to Childcan’s mission and strategic plan.
The successful applicant will have the experience of working in a finance role and be able to administer office management/administration tasks. They will also be used to using their initiative and taking responsibility for their work areas.

Fundraising and Database Management
The successful applicant will have the experience of working in a finance role and be able to administer office management/administration tasks. They will also be used to using their initiative and taking responsibility for their work areas.
General Tasks
- Responsible for day to day general office administration and processes
- Respond to phone and email inquiries from donors and the public
- Manage, sort, and process incoming mail
- Process purchase invoices, expense claims and supplier and other payments
- Take responsibility for invoice coding and the integrity of data entered into the accounting system
- Manage the team petty cash balances
- Liaise with the charity’s Executive Officer and Treasurer and other agencies that the charity may be partnering with on funding.
- Ensure office equipment is maintained and keep a log
- Order equipment and stationery as required
- Maintain filing systems both electronically and hard files as appropriate.
- Assist with preparation of monthly reports and quarterly meetings for the Board of Directors
- Other office tasks as assigned (data entry, note-taking, photocopies, event preparation, etc.)
- Day-to-day financial administration (bill preparation and payment, bank deposits)
- Maintain detailed and accurate financial records in Quickbooks
- Ensure CRA compliance (source deductions, tax rebates, other forms
- Update annual budget forms (monthly)
- Complete the bank and other balance sheet reconciliations
- Post recurring journals e.g. payroll and accruals/prepayments
- Assist with preparation of the financial reports for Directors of the Board
- Provide financial data for reports to funders and other stakeholders as needed
- Assist in preparation for annual financial audit
- Assist with preparation of the annual accounts
- Assist with compiling the audit file and be available to help the external auditors with their testing
- Assist with annual budgeting and ongoing financial modelling, forecasting and analysis
Fundraising and Database Management
- Process phone and online donations
- Coordinate and process direct mail donations
- Manage and maintain donor database (update contact information, pull lists for mailings, etc.
- Manage monthly giving program records (update banking information and reconcile gifts)
- Produce timely and accurate tax receipts for donors
- Regularly update fundraising campaign results
- Post-secondary training in business administration, accounting or any related degree or experience
- 1-3 year(s) administration or related experience
- Accounting knowledge and strong bookkeeping skills (QuickBooks preferred but not essential)
- Proficiency with MS Office, especially MS Excel
- Excellent computer literacy skills, including web-based systems
- Accuracy in working with large amounts of data
- Excellent organizational skills and strong attention to detail
- Ability to multitask, work with deadlines and manage competing priorities
- Strong communication skills and ability to deal with people effectively by phone and in person
- Ability to work both independently and as part of team to achieve results
- Commitment to Childcan’s mission and vision
- Previous non-profit or charity experience
- Previous experience using Quickbooks
- Familiarity with CRA requirements for charities
- High level of skill in managing donor database systems (queries, reports, batches, etc), especially Etapestry.
