Job Description

We are looking for a driven and detail-oriented Executive Assistant/Office Manager/Bookkeeper to join our small team based in London, ON. In this new role, working one-on-one with our Chief Operating Officer, your role would grow to have a wide range of responsibilities for bookkeeping, project management, and administrative support. You will directly contribute to our capacity to continue to invest in and grow small-businesses in our community.

The central goal of this position is to help our COO step away from as many administrative tasks as possible while improving our ability to work with speed, agility, and precision.

Your key tasks and responsibilities would be:

  • Enable the organization and COO to maximize our effectiveness and efficiency
  • Take primary responsibility of daily bookkeeping, expense tracking, and invoicing
  • Develop and maintain accurate and timely systems for record keeping and compliance tracking
  • Provide day-to-day administrative assistance and manage processes and documenting transactions
  • Become primary external point-of-contact for the organization
  • Accompany COO to meetings and support with note taking and resulting action items
  • Build and maintain excellent relationships with external contractors and other professionals
  • Research and assist in solving problems as they come up
  • Take responsibility for special projects and drive to completion
  • Assist COO in providing support to portfolio companies from time to time
  • Support personal tasks of the leadership group as needed with an extreme level of confidentiality

Trait's we are looking for:

  • Previous experience in a related role (ie. Executive Assistant, Office Manager, A/P, Bookkeeper, Administrative Assistant)
  • Working knowledge of basic bookkeeping and QuickBooks Online
  • Organized, both detail and task oriented, with strong prioritization and planning skills
  • Very strong professional etiquette with ability to communicate effectively with folks outside the organization by email, phone, video, and in person
  • Ability to anticipate problems and needs
  • Quick thinker and doer, who can swiftly produce high quality work
  • Interest in learning, research, and problem solving
  • Flexibility and willingness to handle new and different tasks and evolving responsibilities
  • A positive, optimistic personality with a sense of humor
