Job Description

Accountable for coordinating and delivering Human Resources services including benefits/pension administration, disability management, analytics, reporting, and audits. This position works closely with payroll on employee data/leave of absence management. Additionally, it assists with HR projects in system implementations and committee work and contributes to training, employee development and performance conversations with our business units.

This is a 12-14 month contract.

Responsibilities Include:

• Support and communicate HR programs to employees and managers in support of business requirements, to promote employee engagement and attain organizational goals to enable culture and core values.
• Act as an advisor throughout the organization to provide guidance relating to performance management issues, disability management, policy and contract interpretation, coaching and disciplinary discussions and internal investigations.
• Co-ordinate the disability management process for occupational and non-occupational absences. Liaise as required with managers, employees, consultants, WSIB staff and others involved in the process, to determine and implement an effective return to work strategy. Prepare all forms and correspondence with WSIB, insurance carriers and others, ensuring reporting obligations are met.
• Prepare, distribute and and follow-up all modified work plans, managing each claim according to best practice and risk management standards. Maintain Claim Status records, individual files and trackers. Participate in return to work meetings and appeals.
• Co-ordinate all Corporate pension meetings on an annual basis, for all locations. Maintain all records relating to education content, dates of sessions, attendance and pension committee activity. Respond to employee inquiries and provide feedback on comments about the program and education opportunities. Participate in education planning sessions and annual pension committee meeting.
• Liaise with payroll to ensure benefit and pension enrolment and termination information is up to date and accurate. Respond to employee inquires related to group benefits and pension, investigating and correcting any issues with carrier or broker as required. Assist with the development of benefit education and promotional programs for employees, and participate in their delivery and evaluation. Regularly audit records of all benefit and pension enrolments.
• Audit group benefits remittances on a monthly basis for all billing divisions prior to issuing cheque requisitions. Act as backup for self-administration of the company’s benefit and pension programs, including billing invoices and payments. Coordinate and prepare the annual benefit census report.
• Provide guidance to managers and supervisors relating to performance management issues, policy interpretation and other issues, liaising with HR Director and/or Senior HR Advisor.
• Research enhancements to systems to support future needs for e-learning, employee skills assessment and development, succession planning and other talent management features. Act as project lead for committee work and subsequent implementation processes.
• Compile analytics for HR team and provide statistical reporting as well prepare presentations of Sifton’s employee engagement survey data results.
• Co-ordinate Corporate Milestone award program, including tracking and communicating all milestone anniversaries, preparing award cards, ordering milestone pins, organizing anniversary events and celebrations at local with senior managers. Audit STARs records monthly to confirm milestone awards have been given. Track, prepare and deliver all real estate annual anniversary cards on a monthly basis.
• Support recruitment activities throughout the organization and participate in orientation and activities for new managers, seasonal staff and others as required.
• Assist with the research, development and/or outsourcing of training programs and/or courses. Develop feedback forms, electronic or hard copy and compile results.
• Assist with the development, writing, interpretation and application of the Corporate Leadership Guide and Health and Safety Manual. Assist with the development, preparation and maintenance of department procedures.
• Research and make recommendations for best practices in HR programs and policy. Participate in HR project overflow, support and ad hoc projects as directed.
• Other duties as required.


Experience & Qualifications:

• Diploma or post-secondary degree in Human Resources Management.
• 5 years’ related experience in providing Human Resources support functions including: performance management, recruitment, training and development, and benefit/pension administration.
• Thorough knowledge of employment standards and other employment related legislation.
• Strong technical ability. Computer proficiency with intermediate to advanced MS Office skills with knowledge and experience maintaining talent management software.
• Good presentation skills; experience or training in delivering adult learning is an asset.
• Customer-service focused; demonstrated interpersonal and communication skills; ability to connect well with all levels of the organization and effectively communicate and implement HR processes.
• Accuracy and attention to detail; strong writing and proofreading skills, able to develop reports, collect and coordinate data
• Self-directed and team-oriented; able to multi-task and manage priorities.
• Good problem-solving and coaching skills.
• Professional manner and demonstrated ability to handle confidential and sensitive information appropriately.
