Summary of Duties:

Reports to the Manager, Provincial Offences Court Administration. Responsible for preparing and processing required documentation associated with the Provincial Offences Courts and hearings. Provides related public-facing services and administrative support to the Provincial Offences Court Administration.   Provides support to court and hearings processes while in session as needed.  Provides written and verbal support in both official languages (French and English), as required. 

Work Performed:

  • Receives and directs telephone calls, emails, counter requests and other inquiries from the public, Provincial Offences Act defendants and hearings participants, the judiciary, legal community and law enforcement agencies as well as staff and other judicial system partners and interested parties.  Responds to general inquiries, such as the scheduled times, dates, and location for court and hearings proceedings. 
  • Retrieves general information, payment dates, offence statistics, trial dates or outstanding fine payment data from the provincial offences and related computer or filing systems in response to internal and external inquiries. 
  • Receives and processes Certificates of Offence and Informations from enforcement agencies, and Hearings requests in accordance with legislated requirements. 
  • Enters data from Certificates of Offence and Informations and hearings into the provincial offences and related computer or filing systems. 
  • Receives, processes, records and distributes incoming mail. 
  • Receives and enters fine payments into provincial offences and related computer or filing systems. 
  • Sorts, checks and files notices and submissions. Prepares and maintains appropriate documents for the administration of the Provincial Offences courts and hearings. 
  • Reviews and corrects provincial offences and related computer or filing systems errors and reviews information to ensure that the record to be maintained is complete and accurate. 
  • Receives and directs clients at front counter to appropriate Courtrooms or hearings rooms, answers general inquires, and receives payments. Provides customer service to the public and court clients, either at the front counter or by telephone, email or other correspondence. 
  • Schedules trials and hearings, maintains the associated court and hearings records/files, and tracks matters using the provincial offences and related computer or filing systems. 
  • Assumes duties of Court Reporter/Clerk-POA when coverage is required, conducting in-person proceedings, or providing clerical court and hearings support and courtroom and hearings room monitor assistance to the Judiciary and judicial system partners and others while court or hearings are in session as needed.
  • Prepares letters, reports and statements relating to Provincial Offences and hearings.
  • Prepares and mails out public reminders, notices of fine and due date, notices of trial, notices of first appearance, and other correspondence and hearings notices as required to ensure payment of outstanding fines. 
  • Prepares daily bank deposits. 
  • Provides and assists in completion of court and hearings forms and documentation. 
  • Provides general office orientation to new staff and assists others with understanding and using the provincial offences computer systems, as required by the Manager. 
  • Acts as Clerk of the Court, as designated. 
  • Performs other related duties as assigned.

Qualifications:

  • One year Ontario College Certificate in Court Support Services or equivalent in a related Legal Services field.
  • Demonstrated written and verbal proficiency in both official languages (French and English).

Experience:

  • Two years of related experience.

Specialized Training & Licenses:

  • Knowledge of the Provincial Offences Act and related regulations or legislation.
  • Knowledge of the Integrated Courts Offences Network (ICON) computer system.

Compensation & Other Information:

$48,687 - $68,980 (Level 10)

Current hours of Work: Monday - Friday from 8:30 a.m. to 4:30 p.m.

Work Arrangement: In office.

These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
