The Opportunity: Data Specialist – Team Lead
Based out of London, Ontario as a Data Specialist – Team Lead, your primary role is to oversee a team of Data Specialists in the support of the immigration compliance process by assembling the documents required to prepare visa applications and managing administrative functions throughout the year. You’ll be responsible for the overall supervision and development of staff within your team. Due to the nature of the work, this will mean supporting a fast paced and dynamic work environment.
Responsibilities:
As a Team Lead you will:
- Provide effective coaching and guidance to the team by:
- Providing regular reports on team performance;
- Encouraging productivity and performance improvement, providing clear expectations on output and quality;
- Supporting development by identifying any skill gaps and training needs.
- Lead workflow coordination ensuring balanced team allocations and workloads; re-allocating team members as required.
- Promote and foster team spirit among all team members within the SDC.
- Serve as an Immigration Specialist team member and backup for additional engagements and projects as required.
- Collaborate with other team leaders in the SDC.
In the role you will:
- Manage the review of the immigration processes and prepare quality reports;
- Strengthen the application process by the creation of standardized templates to ultimately the automation of the application process;
- Be responsible for immigration compliance and implementation of best practices of country specific immigration processes;
- Oversee the assembly of client provided information which may include data entry, scanning hardcopy documents, and organizing softcopy documents electronically;
- Initiate and create client records in database or online tools, and provide client user access;
- Manage receipt and verification of consent forms, client documents; and follow up with clients as needed;
- Assist with electronic filing of documents with government agencies (such as: Canada Revenue, Agency, US Internal Revenue, US Department of Labor, etc);
- Oversee the tracking and reporting on client information using online tools, and manage lists of clients requiring services;
- Oversee the drafting of documents and emails to support applications for government programs and benefits;
- Oversee the monitoring of expiry dates for government benefits and draft applications for renewal;
- Provide reporting and oversight of all processing and output of staff to ensure that all standardised procedures are adhered to.
Requirements:
- ?2 years of experience supervising a team of 10 or more; balancing multiple competing priorities within the team;
- Min 3 – 4 years’ of progressive administrative experience preparing high volume information and documentation (Immigration (US or Canadian) experience would be considered an asset.)? Familiarity with MS Excel and/or other reporting tools for tracking workload and workflow for team members;? Ability to adhere to, and enforce adherence to strict deadlines;
- Strong writing skills;
- Strong experience with case management software (INSZoom would be awesome but not required), specifically uploading documents and updating data fields;
- Innovative attitude with a mindset of always reviewing processes and team performance for areas of increased efficiency and improvement;
- You are comfortable working paperless, compiling documents or doing any task online (PDF).
- Bachelor’s degree preferred.
