Brescia is currently seeking an experienced and dynamic individual to fill a position as:
 
Assistant Controller
(Full-time, Permanent)
Salary Grade 8 - $35.90 per hour

This role works closely with the Controller and reports to the Executive Director, Finance, Operations and Strategy.
The Assistant Controller’s overall purpose is to support the timely financial reporting for the organization. The role supports the work of the Controller by examining and analyzing accounting and financial records, documents, and systems to ensure accuracy and compliance with established accounting standards, procedures and internal controls; assisting with the external audit; preparing internal financial reports and statutory filings; and collaborating on improving business processes.

RESPONSIBILITIES (include but are not limited to):
Financial Record Keeping:

  • Maintain the general ledger including making journal entries in the Brescia general ledger and donor fund subledger.
  • Monitor bank accounts and investment accounts including: bank and investment fund transfers; capital, endowment and restricted fund tracking; and investment management.
  • Prepare and/or review monthly bank reconciliations as required.
  • Monitor corporate credit card use and billings, including tracking/reviewing/following up on credit card expense reports from cardholders, ensuring compliance with Brescia policy and recording all associated general ledger entries.
  • Maintain various continuity schedules (may include capital asset, capital lease, deferred contribution, etc.) and booking associated general ledger entries. 
  • Collaborate with Financial Services Business Office staff on financial record-keeping, including advising on appropriate accounting treatment (transaction coding, adherence to policies and procedures).
  • Prepare various monthly and quarterly reporting accounting entries.
  • Scrutinize all financial records for accuracy and carry out corrective actions where necessary, particularly at month-end to ensure accurate reporting.
  • Research accounting issues where necessary for compliance with accounting standards.

Budget Process Support:

  • Update supporting databases.
  • Prepare and analyze monthly departmental reports and detailed transaction analysis reports for distribution to Budget Leads.
  • Make correcting entries identified by Budget Leads through the monthly departmental reporting process.
  • Analyze and prepare information inputs for various departmental budgets and forecasts including calculating and explaining variances.
  • Calculate, track, and present the organization's monthly cash flows to be presented at the FAIC quarterly meetings. Evaluate and analyze the organization's sources of funding.

Compliance Reporting Support:

  • Support the year end audit by preparing and reviewing the working papers for various accounts, using data analytics to evaluate and ensure compliance.
  • Support the preparation of HST remittances.
  • Analyze tax compliance and tax-planning opportunities for the food and conference services departments.
  • Prepare and analyze various compliance reports including: COFO Annual Report, Registered Charity Return, Stats Canada Reporting, Tri-Council Annual Research Reporting

Other Financial Services Department Support:

  • Prepare invoices for ancillary services revenue streams as required.
  • Other Financial Services Department functions to support and backup other roles as required.

QUALIFICATIONS

  • University degree in related discipline (accounting, commerce, business).
  • Recently completed or working towards the Chartered Professional Accounting designation. Mid- to late-stage completion preferred.
  • Advanced capability in Microsoft Excel is mandatory.
  • Solid experience with various accounting software packages is mandatory; experience with Sage 300 ERP would be an asset.
  • Three years previous experience, particularly in a post-secondary or nonprofit environment is an asset.
