Reporting to the Senior Client Services Manager, the WILL Work Employment Preparation Team Lead seeks to motivate, support, schedule and track the duties of the employment preparation team to ensure all job seekers are independent, job ready and prepared to market their skills, experience and qualifications to Canadian employers with a specialization in preparing immigrants for employment. It is a combined role of day-to-day supervisory support while also providing direct service to clients/job seekers by reviewing and contributing to their employment preparation documents.

THE TALENTS AND BACKGROUND YOU BRING TO THE TABLE
- Post secondary education or equivalent work experience
- 3-5 years experience in a related role
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Access)
- Completion of Common Assessment Process (CAP) training
- Proficient technology skills including experience with online learning platforms, online conferencing/meeting platforms, and utilization of social media as a networking and marketing tool
- Excellent written and verbal communication skills; bilingualism is an asset
- Familiarity with employment legislation as well as the local labor market dynamics
- Experience presenting material to a group, curriculum development for adults as well as learning skills
- Team Building skills
- Ability to multi-task and complete projects with frequent interruptions
- Ability to handle conflict and diffuse situations
- Ability to work in a team environment as well as independently
- Ability to solve problems and think quickly on your feet
- Good time management skills and the ability to adapt to changing priorities
- Professional demeanor and ability to handle confidential information
Team Leader Job Duties/Responsibilities
- Coordinate, plan, and schedule the delivery of all workshops and other Employment Preparation Team client services and activities
- Lead the team to meet monthly results, targets and key performance indicators as set out by the organization
- Initiate and manage team building activities to maintain a high team morale
- Lead regular team meetings, monitor team tasks and case management portfolios
- Supervise team activities and schedule workflow of the Employment Preparation Team
- Coach, mentor, support and train the Employment Preparation Team
- Provide feedback and troubleshoot issues escalated by the team to achieve organizational goals
- Create quarterly and monthly reports on workshops and trends to monitor and measure success in client completion of program offerings and the success rate of clients
- Lead the team in best practices in entering data and case notes in Client Tracker for all employment preparation activities
- Ensure that the Employment Preparation team is meeting the administrative obligations of the funders and funder reporting requirements
- Effectively and strategically delegate tasks to team members and ensure they are completed by the required deadlines
- Resolve interpersonal conflicts within the Employment Preparation team and with clients
- Monitor the case files of Employment Advisors to ensure the integrity of data collection and that the correct processes are implemented in the collection of data
- Maintain industry knowledge on best practices and identify training opportunities for the team
- Assist in the hiring and training of new employees for the Employment Preparation Team
- Conduct performance growth reviews for team members twice annually
- Track and approve time away from work for the Employment Preparation team
- Maintain an understanding of the team dynamic and team member capabilities
- Oversee and approve submissions for client financial reimbursement
- Complete monthly funding reports as requested by the Manager, Client Services
- Conduct semi-annual privacy audits on files and staff practices (onsite and remote) and assure all requirements are met
- Provide support to the Management Team on identifying service delivery gaps and alternative sources of funding
- Actively participate in third party evaluation of client services
- Review and contribute to client employment preparation documents including resumes, cover letters and labour market research and other self-marketing materials
- Assist in the examination of service offerings of WILL to ensure it is up to date with current trends and needs for the clients
- Lead coordination of employment preparation activities through work plans, process mapping, update procedural documents and development of new procedures
- Track client progress along the completion of registered programs and move them along to the next phase
- Respond to clients face to face, through email video conferencing and over the phone
- Conduct client needs assessment of employment preparation supports and activities and engage accordingly
- Contribute to organizational outreach efforts to community members through word of mouth, meetings, social media, and presentations
- Develop, amend, and deliver up to date curriculum and workshops within the community
- Understand the needs of clients and make reasonable accommodations as required
- Communicate and follow all WILL policies and procedures
- Maintain confidentiality while handling client information
- Maintain up to date knowledge of all services and programs offered by WILL and effectively communicate promote them to clients and potential clients
- Intentionally and strategically collaborate across WILL programs to support the achievement of the WILL mission and goals
- Special projects and other duties as assigned
