Job Description

THE OPPORTUNITY:  

Davis Martindale is one of the most recognizable and reputable accounting and advisory service firms in Southern Ontario.

We are currently seeking someone to join our Valuations Team in an Administrative Support role.

For decades we have helped business owners, executives and lawyers to seek opportunity, reduce risk, and overcome emerging challenges by providing valuation services, expert reports and trusted advice. In 2021 and 2022, our team was honored with several awards for involvement in the valuations community and demonstrated success. We are growing quickly and are looking for a high performing individual to join our team!


RESPONSIBILITIES:  
  • Completes client file set up
  • Drafts all invoices – retainer, interim and final
  • Prepares, monitors, and analyzes client billing including invoices and billing worksheets
  • Prepares WIP and AR reports
  • Communicates with team and clients regarding accounts receivables and following up with clients on outstanding AR per predetermined schedule
  • Drafts Statement of Accounts
  • Tracks AR/internal and external collections
  • Maintains internal invoice tracking sheet
  • Completes internal conflict check process and secondary conflict checks if necessary
  • Prepares and edits engagement letter
  • Prepares and edits information requests
  • Assists in the preparation, proofreading, editing, and finalization of valuation reports and schedules to a high standard
  • Drafts Representation Letters, Form 53’3, Form 20.2’s, Letter of Directions and Promissory Notes and ensure documents are signed
  • Acts as a primary contact for clients regarding preliminary information requests, retainers, online portal, invoicing, and incoming phone calls
  • Maintains and updates office systems, procedures, and processes
  • Books meetings and assists in managing team schedules
  • Maintains information lists for practice inspection
  • Assists with marketing – updating contact lists, co-ordination and attendance at events, and booking travel
  • Maintains physical and electronic library including renewal of subscriptions and ensure all current reference books are purchased
  • Creates trial/mediation binders and maintain calendar tracking of court dates
  • Maintains lead source tracking
REQUIREMENTS:   
  • Exceptional accuracy and attention to detail
  • Demonstrated skills in following an organized, methodical and logical approach
  • The ability to multi-task and work in a fast-paced environment to meet deadlines under pressure while maintaining accuracy and quality
  • Exceptional written and oral communication skills
  • Proficient in MS Office
  • The ability to be a responsible team member who works for the benefit of their team and the firm
