Job Description

Have you successfully and efficiently run a small law office before, or have you been a lawyer's assistant or a medical office assistant? Also, anyone who has been an administration assistant in the banking, financial or insurance sector may be a good fit for this position. If so, then you may have the skills required for this position. However, having worked in a law office or medical office is not mandatory. It is more the skill set and personality that you bring to the environment that is critical. This is primarily a task-focused operation and client file management job, requiring faster-than-average operational management in an environment of continuously changing demands. Thorough, focused, attention to detail is critical and should outweigh the requirement for speed if these two conflict. High quality, professionalism, integrity and unquestioned ethical conduct should permeate all transactions. Respect, civility and friendly efficient service are required at all times.

Mission: Core Purpose of this Job
  1. Make sure the small sole proprietorship operations run efficiently and in an organized manner
  2. Ensure quality of service to clients 
  3. Manage all client files and workflow in an efficient and organized manner
  4. In charge of operational requirements such as cash flow, purchasing supplies and technology maintenance and marketing
Primary Outcomes that will be expected of you:

1. Manage and thoroughly document client file communications (phone and written);

2. Conduct client file audits on a monthly basis to ensure compliance and service objectives are met;

3. Manage, plan and schedule all client matters;

4. Efficient billing, bookkeeping and record keeping (prefer experience with PCLaw);
