Donor Relations Assistant

Mission Services of London, a Christian faith based, not-for-profit social service agency, seeks a Full-Time Donor Relations Assistant. This  position  reports to the Director of Development & Communications.

Duties and Responsibilities:

To  provide  administrative  support  to  the  Development Team with a number of donor relations, fundraising and stewardship programs.These include fundraising event/campaign support tasks, clerical and gift processing duties, donor relations/customer service over the phone and in person, and more. Among other administrative support duties, this role will:
  • Answer donor/public inquiries in person or over the phone; triage inquiries and redirect to colleagues as appropriate.'
  • Enter call and other data into the Salesforce database, noting necessary changes to constituent records.
  • Maintain a record of action items that arise from telephone interactions and follow up directly, or communicate to the rest of the Development team about follow-up that they will need to do as appropriate.
  • Prepare statistical or mailing list reports, maintain RSVP lists and pull reports from CRM.
  • Provide administrative support for gift processing and donor relations (e.g. data entry, credit card charges, document batching and scanning, issuing and mailing tax receipts or acknowledgment letters, sending out donor welcome packages in print or electronically, calling donors to thank them or update their banking/credit card or contact information).
  • Assist  in  maintaining  database  by  linking  relationships,  populating  tabs  with research   and   first-hand   information,   including tracking of relevant obituary information or returned mail.
  • Assist  with  various  in-house  mailings  (including  mail  merges  and  document formatting).
  • Assist with Development event logistics (e.g. auction item pick-up; event set-up, tear-down, transporting of materials, greeting, distribution of information packages, gift-in-kind sorting).


  • Secondary School Diploma.
  • Strong computer skills in MS Office (including Teams, PowerPoint, Word, Excel), databases/Customer Relationship Management (CRM) software, Zoom, Internet.
  • Knowledge of Salesforce Non-Profit-Success Pack (donor database) software an asset.
  • Excellent interpersonal and communication skills, both written and oral.
  • Administrative Assistant experience an asset.

  • Valid driver’s licence and vehicle access

Position Details:

  • Full-time (40 hours/week) position.
  • Monday to Friday 8:30 am to 4:30 pm (this role works full-time, in person from the Administration Office).
  • There is an expectation of working some evenings and weekends if required.
  • Pay Level 3.
