JOB POSTING

 

 

Department:                Executive Development, Ivey Management Services

Location:                     Ivey Spencer Leadership Centre

Position:                      Program Assistant, Temporary Full-Time

Dates:                          April – June 2010 (13 weeks)

Hourly Rate:                $15.00

 

 

PRIMARY OBJECTIVE OF POSITION:

To provide clerical support to Program Managers responsible for coordination of all non-academic aspects of Executive Development programs offered by the Richard Ivey School of Business.

 

1.   Pre-program activities (in weeks leading up to the program)

  • Data entry
  • Processing participants’ questionnaires, bios and photos
  • Coordinating the production of the participants’ Class Book
  • Coordinating and confirming miscellaneous program arrangements (i.e. photographer, Ivey Trading Co. store, off-site venues, etc.)
  • Assisting in production and distribution of pre-program reading materials
  • Updating and re-formatting documents
  • Preparing program materials (i.e. participants’ welcome packages, nametags and seatcards, gifts, supplies, etc.)
  • Other support as required

 

2.     On-site support:

  • Providing coverage for the program desk when required (day and evening)
  • Assisting with preparation and distribution of program materials (i.e. handouts, diplomas, Class Photos, etc.)
  • Assisting with program errands when required

 

 

MINIMUM REQUIREMENTS:

·        Strong attention to detail

·        Proficiency in computer software (Word, Excel, PowerPoint) and a willingness to learn new programs

·        Organized individual, with the ability to cope in an interruptive environment while maintaining their commitment to exceptionally high level of service with a very high quality orientation

·        Experience coordinating tight-deadline projects under a minimal supervision

·        Proven ability to coordinate multiple priorities and tasks concurrently

·        Excellent interpersonal and communication skills (oral and written)

·        Professional in presentation and demeanor

·        Must be a team player

·        Ability and willingness to work outside of regular business hours including weekends
