Job Description

Hayhoe Homes, a leading homebuilder and developer, is looking for a dynamic, positive and enthusiastic candidate to join our team as an Administrative Assistant. This role will be based out of our head office in St. Thomas, Ontario and will be focused on projects throughout Elgin, Oxford & Middlesex Counties.

The role of the Administrative Assistant is to provide administrative support to the Operations, Accounting, Sales & Marketing, and Rental Homes teams for general office administrative and clerical functions.  This position is a full-time permanent role and offers a competitive remuneration package.

Duties:
The primary duties of the Administrative Assistant shall consist of, but not limited to:
  • Provide back-up support for reception to cover holidays, breaks, or as otherwise required.
  • Provide support to the Administrative Coordinator to prepare Tarion packages, process SRPRs, distribute mail, or as otherwise required.
  • Provide support to the Operations Team to coordinate prints for the plan distribution, electrical plan distribution, selections processes, or as otherwise required.
  • Provide support for data entry & file management within a digital communications platform.
  • Monitor & maintain hard copy filing structure (create files for new projects & sites, organize and maintain files throughout project life-cycle, archive files for old projects).
  • Monitor & maintain supply of sales & marketing literature (brochures, price lists, binders).
  • Perform accurate & timely filing of all office documents and correspondence (hard copy & electronic).  Documents may include customer selections information & change orders, quotations, operational & service documentation, legal documentation, invoices & accounts payable records.
  • Monitor & maintain central office supply inventory.

Requirements:
The successful candidate will have the following qualifications:
  • Requires a Secondary School Diploma or equivalent.
  • Prefers one to two years of administrative experience in a busy office environment.
  • Prefers ability to read and interpret blueprints and material specifications.
  • Prefers a general understanding of residential construction job planning and scheduling processes.
  • Requires exceptional organizational skills to develop and maintain accurate hard copy & electronic job files according to an established system.
  • Requires the ability to follow established workflows thoroughly and accurately.
  • Requires the ability to schedule time effectively and manage multiple tasks and deadlines.
  • Requires the ability to perform with a high degree of clerical accuracy with exceptional attention to detail.
  • Must be an outgoing & professional individual who is comfortable meeting new people and being in unfamiliar situations.
