Job Description

Vantage Property Management is a well-established property management company that has been in operation over 30 years. We are currently seeking a permanent full-time employee who has the ability to work independently and participate as an active responsible team member of a dynamic team. The ideal candidate will possess an Accounting or Business Diploma, excellent customer service skills, be detail-oriented and be comfortable responding to inquiries in a professional and positive manner.
As the Accounting Administrator, you will report directly to the Principal as the liaison between tenants, suppliers, and the management team. You will be responsible to maintain client and supplier database, collect rents, issue payments to suppliers, distribute owner payments to clients, administrative duties and provide assistance to facilitate the smooth operation of important functions.

Essential Duties & Responsibilities

Accounts Receivable
  • Collects rents, process bank deposits, process pre-authorized rent payments, record payments, prepare accounts receivable reports, maintain tenant files, maintain pre-authorized rent payment files.
  • Initiate collection process when needed, prepare written correspondence (letters and legal forms), prepare tenant files for the Tribunal.
  • Process move-ins and move-outs, last month rent, interest.
  • Process monthly rent rolls.
Accounts Payable
  • Process payables, prepare and send out cheques when needed, arrange pre-authorized payments, maintain vendor files.
  • Process monthly owner payments and maintain client pre-authorized deposit payment files.
Other Accounting
  • Provide support to Corporate Bookkeeper with financial statements and investigation of discrepancies within capability.
  • Correlate invoices for financial statements and investor statements, prepare letters for financial statements, distribute to clients.
Administrative
  • Handling incoming phone calls from tenants and clients in a team environment and providing support to the team when needed.
  • Perform out of office errands when needed (banking).
  • Assist office with administrative support as needed within capability to contribute to a positive team environment and assist us in meeting company monthly goals and deadlines.
Required Skill Set:
  • 2 years Accounts Receivable/Accounts Payable experience;
  • Accounting Degree or Diploma;
  • Strong attention to detail;
  • Outstanding oral and written communication skills;
  • Good organizational and time management skills;
  • Effective in meeting deadlines;
  • Proficient in Microsoft Office Excel, Outlook, and Word;
  • Knowledge of property management preferred;
  • Knowledge of Yardi Property Management System preferred;
  • Must possess valid driver’s license and reliable vehicle;
  • Positive criminal check required.
