To help us accomplish this goal, we need to hire motivated passionate people that will support our workforce and facilities. We are seeking an Administrative Assistant to join our team.

Job Description/Responsibilities
 
  • Staff Reception Desk and be the primary person responsible for answering telephone, e-mail, and in-person inquiries from customers, vendors, and other parties.
  • Refer all inquiries to the appropriate individuals or departments across the organization.
  • Perform significant volume of data entry into our ERP (MS Dynamics NAV – Agriware) for sowing, selecting, transplanting activities.
  • Verify, label, and acknowledge receipt of customer seed inventory.
  • Take and record telephone, e-mail, or written messages for staff members.
  • Type forms, letters, reports, and memos as necessary.
  • Track radio inventory and arrange for necessary maintenance with approved vendors.
  • Complete employee uniform orders, and create identification badges in compliance with company policy.
  • Perform pathogen swabs on kiem trays as required for quality assurance.
  • Create tray tags for the grafting department.
  • Manage office supply inventory and order supplies when needed or requested.
  • Submit weekly propagator’s report.
  • Organize, maintain, and coordinate office records and files in their proper locations.
  • Arrange travel bookings via approved providers.
  • Administer and manage inbound/outbound mail, including priority posts, packages, courier services, and other correspondence.
  • Cross-trained to support Production Coordinator with administrative data entry duties.
  • Perform other duties as required.


Minimum Requirements
 
  • High school diploma or college diploma in office administration, or an acceptable combination of education and experience
  • 1-2 years of direct work experience in a receptionist/administrative assistant capacity.
  • Able to write simple correspondence, including memos, letters, etc.
  • General mathematical skills.
  • Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items considered an asset.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • Knowledge of Microsoft NAV Dynamics (Agriware) is a plus.  
  • Able to maintain filing systems and basic databases.
  • Meticulous records maintenance skills.
  • Superior telephone manners and strong interpersonal skills.
  • Strong written and verbal skills to communicate with all levels of the organization and its management team.
  • Strong customer service orientation.


Physical Location/Working Conditions
 
  • Manual dexterity is required to use desktop computer and peripherals.
  • Overtime as required.
  • Lifting or moving up to 30lbs may be required.
  • Generally, 9:00 am-5:00 pm, Monday through Friday
  • Ability to work holidays and occasional weekends during peak season as required.
  • Wage: $18-$19 to start, commensurate with experience
