Job Description

Reports to: Inside Sales Manager

Job Description/Responsibilities:
  • Enter Sales and Production information into ERP (Agriware – MS Dynamics NAV.)
  • Provide support to Inside Sales Manager for various aspects of plant order creation, including but not limited to: scheduling adjustments, forecast planning, material order changes, ensuring timely arrival of inputs, customer follow-up, and preparation for production.  
  • Generate work orders and assign production inventory for workforce planning team.
  • Collaborate with interdisciplinary team members to ensure situational order adjustments are implemented.
  • Handle inquiries from a large client base at different points in their assigned production cycle.
  • Assist with integration of Excel forecast plan into ERP (Agriware - MS Dynamics NAV.)
  • Collaborate with Inside Sale Manager and VP of Sales: Customer Success to deliver an exceptional customer experience.
  • Develop CRM tools in ERP (Agriware – MS Dynamics NAV.)
  • General customer service duties: responding to inquiries via phone or email regarding inventory, planting dates, or material changes.
  • Trusted Propagator Program: Work with quality control to assess additional seed requirements, maintain seed vault inventory-in-trust, and reconcile usage.
  • General seed inventory management: conduct tests on older stock, advise customers of existing inventory, operate a FIFO usage system.
  • Provide Food Safety Letter of Assurance and Organic Certificate to customers for yearly audits.
  • Ensure Greenhouse is functioning within standards of the CFIA GCP (Greenhouse Certification Program) for audits, maintaining proper documentation for export purposes and inspections.
  • Cross trained to provide support in the absence of the administrative assistant: supply orders, customer inquiries, extensive production data entry.
  • Other sales, customer relations and administrative duties as required. 

Physical Location/Work Environment:

The successful candidate will be an integral part of a core sales and administrative-focused team that acts as a first point of contact for our customer base. Our Administrative, Finance, HR and Management teams all function in an open plan office – the Production Coordinator will be an integral part in a small core team of professionals that foster an innovative, interdisciplinary, and collaborative culture, always striving to outperform. This position entails minimal time spent in the greenhouse (approximately 10-15 minutes a day,) as required.

Minimum Requirements
  • Excellent communication skills, both written and verbal.
  • Intermediary experience with Microsoft Office suite.
  • Experience with Microsoft Dynamics NAV is an asset.
  • Commercial Horticultural experience not required, but an asset.
  • Demonstrated experience with scheduling in a production environment.
  • Must have reliable transportation.                 
Wage:
  • $23 per hour, 40 hours per week in coordination with supervisor. Additional hours may be required to provide coverage during vacation absences and would be discussed on an as needed basis.
