Job Description 

We are seeking an Office Administrator with Bookkeeping experience to join our firm on a full-time, permanent basis. This position will be responsible for a wide range of duties including legal + general administration and bookkeeping in our fast-paced environment.  

Key Responsibilities include:

Administration
  • General office management - order office furniture and IT supplies, coordinating office repairs, key contact for property manager, oversee office stationery 
  • Assisting with and planning staff events
  • Support JHSC + AODA efforts 
  • Aiding correspondence for the office, such as emails, letters, packages, and phone calls
  • Modified reception duties
  • Other administration duties as assigned
Bookkeeping
  • Manage accounts utilizing RBC Express and Quickbook Online
  • Manage client trust accounts and prepare monthly trust statements
  • Prepare and submit government remittances
  • Prepare HST quarterly remittances for CRA
  • Monthly bank reconciliations 
  • Year-end preparation working with Accountants
  • Maintain filing system 
  • A/R and A/P - cheque production, ACH Payment Manager, Visa Transactions, etc. 
  • Other bookkeeping duties as assigned

The right candidate will possess:
  • Ability to multitask and work well under pressure
  • Experience with QuickBooks Online (advantage) 
  • Experience with RBC Express (advantage) 
  • Knowledge of the Microsoft Office Suite 365, including Word, Excel and Outlook
  • Ability to work productively in a time-sensitive and fast-paced environment
  • Strong communication, interpersonal, organizational and time management skills
  • High attention to detail and accuracy while working
