The Company is seeking an experienced Vice President, Finance and Operations to join the senior leadership team.  This is an extraordinary opportunity for an entrepreneurially minded, self-motivated leader to join the organization at an exciting stage, and help create the requisite structure and disciplined execution focus to guide significant growth. 

SUMMARY OF DUTIES
The Vice President, Finance and Operations is a new position at Donaldson & James, created to strengthen existing financial and managerial practices in preparation for accelerated growth.  As the second most senior officer, the Vice President, Finance and Operations will establish and implement appropriate finance, accounting and operational processes and controls, provide timely and relevant management information to guide business decisions, and manage and improve the efficiency and effectiveness of daily operations particularly as they relate to the allocation and execution of recruitment orders. The Vice President, Finance and Operations will also contribute to and help execute the strategic plan and ensure the successful achievement of company objectives.
 
CORE DUTIES*
  1. Finance and Accounting
  • Develop and execute financial strategies to support the strategic plan
  • Evaluate and strengthen financial policies, procedures, efficiencies and controls to achieve business objectives and ensure compliance will applicable regulatory requirements and accounting standards
    • Provide financial leadership and guidance through strong financial analysis, reporting, budgeting, forecasting, cash management, control and risk management
    • Develop and implement appropriate financial and management information systems, reports, internal controls and analysis to safeguard company assets and guide business decisions
    • Develop and manage budgets, forecasts, and long-term financial plans; monitor Company’s adherence to annual budgets, make proactive suggestions to address forecasted financial variances
    • Oversee the compilation of all required financial statements and reports, including the preparation of monthly and year-end statements, tax returns and government remittances, in accordance with generally accepted accounting standards and government guidelines
    • Supervise an initial accounting team of two (Controller and general accountant)
    • Responsible for the final approval of all payroll processes, ensuring employees, temporary employees and all contractors are paid accurately, on time, and in accordance with statutory requirements
    • Oversee and manage all leases, insurance policies, vendor and supplier contracts
    • Ensure compliance with all regulatory reporting requirements
    • Serve as the senior point of contact for all administrative matters relating to the smooth and efficient operations of the company
  1. Operations
  • Assess the efficiency and effectiveness of existing operations; develop and implement improvements to operational processes particularly as they relate to the allocation and execution of recruitment orders
    • Continually monitor and upgrade business processes relative to corporate objectives and industry best practices
    • Ensure compliance with all regulatory requirements including employment regulations and health and safety standards
  • Contribute to and execute assigned elements of the strategic plan, bringing seasoned industry and business experience to guide decisions
    • Develop and implement clear action plans for each strategic initiative, with identified timelines, resourcing requirements and progress milestones; troubleshoot as required to ensure successful outcomes
  • Assume oversight accountability for the following functions: Finance (see details below), Operations, Human Resources, Information Technology, Risk Management.
  • Build / develop a high performing team with the requisite skills, experience and attributes to scale the company and accelerate growth, consistent with Donaldson & James’ desired culture
    • Develop a future-state organizational structure to guide and prioritize hiring needs;
    • Develop and administer appropriate policies and procedures to manage all aspects of the employment relationship including recruitment, hiring, training, compensation, attendance, performance, health and safety, training and development, career progression, and issue resolution.
    • Ensure all HR programs and procedures are in accordance with applicable employment legislation
    • Oversee the Health and Safety practices of the company and ensure compliance with regulatory and internal standards and controls
  1. Risk Management
  • Assess Donaldson & James’ business risks and implement appropriate risk management policies and procedures commensurate with business objectives
 
REQUIRED SKILLS AND ATTRIBUTES         
 
Skills and Experience Attributes
University Degree in accounting, business administration or management
CPA designation
10+ years of accounting and operations management experience in increasingly senior management roles
Strong project management skills and experience
Experience cultivating and managing high performance teams while achieving goals

Demonstrated success in implementing ERP or Accounting platforms
