Job Description

Position:  Administrative Assistant
Location:  London, Ontario

Who you are:
The Administrative Assistant contributes to the success of The Ivey Academy by efficiently supporting back-office operations and providing excellent customer service at every level of the program preparation and delivery. You will provide support to the Program Managers responsible for planning, coordination and execution of a wide range of operational and administrative activities related to the delivery of programs offered by Ivey Business School.

What you’ll do:
  1. Schedule meetings and make travel arrangements for the Executive Director and members of the Management Team
  2. Arrange webinars, conference calls and Zoom meetings
  3. Make travel arrangements for program faculty, guest speakers and external facilitators
  4. Create and regularly update Ivey Academy master calendar with programs, events, webinars, marketing campaigns, etc.
  5. Inventory management (i.e. sourcing, planning, ordering, storing, etc.) of program and promotional materials as well as office supplies
  6. Prepare and send materials required for Ivey Academy events delivered off-site
  7. Serve as point of contact for housekeeping, maintenance of equipment, phone/telecom switches, office keys and cards, office deliveries, etc.
  8. Other support as required
 
What you have:

Required Education and Experience:
  • You’ve successfully completed a 2-year diploma from a recognized community college.
  • You have a minimum of 1 year of relevant experience working in a fast-paced, service and team-oriented environment.

Skills and Abilities:
  • Exceptional organizational, communication and interpersonal skills.
  • Demonstrated initiative and ability to work independently.
  • Ability to communicate effectively, both verbally and in writing.
  • Excellent customer service skills.
  • Strong attention to detail and accuracy.
  • Demonstrated ability to multi task and to work effectively and accurately in an interruptive environment.
  • Proficiency in use of a variety of computer programs and possessing the aptitude to learn.

Location: London, Ontario
Position Type: This is a full-time (35-hours/week) 3-year renewable contract with full benefits.
