Day-to-day as our Innovation Works Coordinator
We are looking for someone who is excited to spend their days creating the best possible experience for anyone that walks into Innovation Works. One day this might mean working with contractors who keep the space safe, clean and functional. On other days it means working with a dedicated volunteer team to engage with our community in making magical connections with each other. The successful candidate is able to flow between these responsibilities with ease while keeping up to date with the behind the scenes administration that helps keep Innovation Works running smoothly.

Who we’re looking for

Our newest colleague is:

  • A people person who will act as the “go to” contact for contractors who help to keep our space safe, clean and functional at all times
  • An excellent administrator who, with a detailed lens, will manage contracts, leases, rent roll and reporting (monthly and contribute to organizational metrics)
  • Able to balance overseeing and streamlining building operations and supervising volunteers
  • A confident problem solver who can successfully troubleshoot facility and technology challenges as it relates to our online platforms that manage bookings and co-tenant membership
  • Client focused and enthusiastically provides exceptional customer service to our co-tenant members so they immediately feel at home in the space
  • Engaging and can facilitate meaningful connections with and between our volunteers and members
  • Passionate about making connections and communicating clearly (friendly, open, honest, and courteous)
  • Experienced in a position of leadership or motivating others, either paid or volunteer
  • A keen multitasker who is able to manage multiple priorities in a changing environment


This role is crucial to our work, that’s why this position requires daytime hours as well as some evenings, weekends and on call situations as needed to respond to critical issues and support events.

Responsibilities

While we outline the weight of the responsibilities of this role in percentages, safety, security and customer service will inform your day-to-day priorities.

Facilities Management, Customer Service (60%)

  • Manage facilities (i.e. coordination of building security and services such as Health & Safety, cleaning, heating and cooling, plumbing, electrical, etc.)
  • Manage the rental process of our co-working space for co-tenant members and external bookers (e.g. fill vacancies, show available office space to prospective co-tenants, coordinate requested renovations for co-tenants, support meeting and event bookings, etc.)
  • Maintain smooth operations and exceptional customer service within the space:
  • Troubleshoot challenges (e.g. internet connectivity, printer errors, AV equipment, etc.)
  • Maintain an organized, clean, welcoming, and adequately equipped physical space
  • Ensure meeting rooms are prepped for use by co-tenant members and the public
  • Liaise with the team to make sure supplies are stocked
  • Communicate clearly with current or prospective co-tenant members via email, phone and in-person


Administration (20%)

  • Manage contracts with suppliers
  • Prepare and manage members’ leases, reports, and rent roll
  • Perform monthly impact reporting
  • Oversee the booking of meeting room space by co-tenant members and external bookers
  • Assist in event bookings in the Innovation Works Commons


Volunteer Management & Engagement (20%)

  • Oversee the Welcome Desk Volunteer Program (including implementing processes, training and policies for Welcome Desk support and scheduling shifts). This includes empowering the team to work with co-tenant members in engaging opportunities (like networking events, information sharing opportunities, etc.)
  • Work side-by-side with the Network Engagement Manager to onboard and engage our members (including delivering Innovation Works 101 presentations)
  • Contribute to Pillar initiatives, including collaborative projects across teams
  • Engage with other co-working spaces nationally and share best practices through a community of practice.


Job Skills, Knowledge, and Strengths:

Required Qualifications:

  • Experience in facilities management
  • Strong background in customer service
  • Proven organizational and time management skills
  • Demonstrated self-starter with ability to work independently
  • Experience in managing contractor quotations
  • Passionate about positive community change and is aligned with the values of Innovation Works and Pillar
  • Post-Secondary Education (College Diploma or University Degree or equivalent work experience)
  • Excellent written and verbal communication skills


Preferred Knowledge & Skills:

  • Practical knowledge of the nonprofit sector, social innovation, social enterprise, and social finance
  • Proficiency with Client Relationship Management systems, Basecamp, and Google Drive
  • Experience in supporting in co-tenant member cultivation (business development)
  • Knowledge of workplace Health & Safety requirements, First Aid and/or certification; experience on a joint health and safety committee would be an asset
  • Ability to read and adjust lease agreements and other contracts
  • Experience with collaborative partnerships
  • Proven planning and organizational skills with strong attention to detail
  • Action oriented, with proven ability to deliver results
  • Understanding and appreciative of Equity and Inclusion principles
  • Experience in community development and/or active community engagement

Work environment:

Contract Terms

  • Full-time (37.5 hours per week)
  • While your typical day is from 8:30 a.m. - 4:30 p.m., some flexibility is required with on-call and occasional evening and weekend work
  • In person working at Innovation Works (201 King Street)
  • Reporting to the Director of Innovation Works
  • Access to Pillar's Learning & Development program, when possible
