Position Description 

We are seeking an Accounting Coordinator to cover a maternity leave that may be extended. The individual in this position will be responsible for general day-to-day and month-end accounting duties, support year-end accounting processes and Campaign-related activities, and provide occasional back-up support to office administration and operational functions.  

Primary Responsibilities

Accounting duties
  • Maintain accounts payable records by processing invoices, expense reports etc.; ensuring payments have correct documentation, appropriate authorization and General Ledger account assignment prior to payment release via cheque or electronic fund transfer 
  • Assist the Chief Operating Officer with month and year-end journals, bank reconciliations and other cycle-end processes
  • Maintain records related to accounts payable and payroll
  • Prepare bank deposits, reconcile to accounting records, and deposit at the bank or via remote deposit capture 
  • Verify accuracy of transactions in the General Ledger 

Campaign and donor relations
  • Assist workplaces on acquiring lottery licences; manage the online lottery platform schedule 
  • Work with the Alcohol and Gaming Commission of Ontario to ensure provincial standards are maintained and licenses are received in a timely manner 
  • Assist with the recording of donations, pledges, payments and receipting 
  • Assist with donor inquiries and other donor care related tasks 
  • Prepare envelopes for entry, create donor accounts, record revenue and designations 
  • Create or assist in the creation of custom reports 
  • Support staff training efforts related to entering and accessing information from donor database and accounting system

General and administrative duties
  • Process incoming mail 
  • Provide support to the Chief Operating Officer 
  • Act as back up IT technical support 
  • Support other accounting and finance functions during absences
  • Perform other duties as needed to ensure the safe and effective operations of the organization
Our Ideal Candidate Will Possess
  • Relevant community college diploma or equivalent experience in accounting
  • 1-3 years of relevant, hands-on accounting experience with an emphasis on accounts payable
  • Experience working with digital banking and payment processing platforms
  • Experience working with accounting software 
  • Experience with lottery licenses an asset
  • Advance-level Excel skill required; Proficient with Microsoft Word and Outlook 
  • Experience working with CRM databases an asset
  • Ability to manage heavy workloads and meet deadlines in a fast-paced environment while producing accurate, high-quality work and maintaining professionalism 
  • Experience handling highly confidential and sensitive materials and issues
  • Solid verbal, written, communication and interpersonal skills 
  • Knowledge and experience in fundraising and non-profit sector an asset
  • Pro-active team player able to work collaboratively with a variety of stakeholders
  • Ability to flex work schedule to attend meetings and special events, which occur before or after regular office hours
  • Valid Ontario driver’s license and access to a motor vehicle with a minimum of $1,000,000 insurance coverage preferred
