Job Summary

This position will provide a high level of confidential executive administrative support to the Chief and senior management team of Middlesex-London Paramedic Service. This includes performing general tasks and assignments, management of the executive’s calendar, meeting coordination, office organization, document preparation and document management. The incumbent will have daily access to confidential and sensitive information related to all areas of the organization, including operational, financial, payroll, human resources, and labour relations information.

The incumbent will work in a complex environment that requires a high degree of sensitivity, responsiveness and a need to maintain confidentiality. This position will work independently at times to prioritize and balance workload to meet critical deadlines and target dates for assignments.

The incumbent must be a highly motivated and energetic individual who enjoys the challenge of working in a dynamic, fast- paced environment.

Education and Qualifications

 
  • Successful completion of a two-year Diploma in Medical, Executive or Office Administration, or equivalent (as acceptable by MLPS); an undergraduate degree preferred.
  • Excellent verbal and written communication skills with strong organizational skills.
  • Basic understanding of how paramedic services work in Ontario is preferred.
 
 

 

Knowledge, Skills and Experience

 
  • Four (4) years of relevant, recent administrative or executive assistant experience, preferably in a Health Care setting.
  • Demonstrated computer skills including Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Demonstrated ability for effective listening, recording confidential meetings and transcribing minutes for review and distribution or past experience in corporate minute taking for legal record or other compliance and quality mechanisms.
  • Demonstrated ability to organize schedules including the evaluation & reprioritization of schedules when unexpected priorities arise and independently follow-up on action items, maintain calendars, coordinate travel arrangements and expense reports, maintain files, and prepare correspondence and other presentation materials.
  • Demonstrated ability to maintain confidentiality and demonstrate sound judgement regarding sensitive matters.
  • Demonstrated strong attention to detail and ability to process information with high levels of accuracy.
  • Demonstrated well-developed service-based interpersonal and communication skills, in person, in writing and by phone.
  • Demonstrated proficiency in problem solving and decision making.
  • Demonstrated ability to attend work on a regular basis.
  • Exceptional organizational skills and telephone / teleconference (i.e.: zoom and/or Microsoft Teams) skills in an independent work environment.
  • Excellent written and oral communication skills.
  • Must possess attention to detail, initiative and innovation.
  • Must have a strong degree of discretion and confidentiality.

Special Requirements

  • In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check.
  • In accordance with MLPS Policy, the position requires the incumbent to obtain a satisfactory driver’s abstract report current within 30 days.
  • It is the employee’s responsibility to possess and maintain a valid and restriction-free driver’s Class “G” license.
  • WHMIS certification.
  • Certification in Cardiopulmonary Resuscitation (CPR) and first aid (preferred).
  • Required to meet MLPS’s COVID-19 vaccination policy
