Position Summary:
The Administrative Assistant – Corporate Services serves as the first point of contact for municipal customers, providing professional and courteous service both in person and by phone. This role involves handling inquiries, directing customers to the appropriate departments, and ensuring a positive experience for all who interact with the municipality. The assistant also provides general administrative support to the Corporate Services department which includes By-Law Enforcement.
Primary Duties:
- Manage incoming calls, directing them to the appropriate departments, and promptly addressing general inquiries and complaints. Demonstrate resourcefulness in finding solutions and providing accurate information
- Greet visitors, assess their needs, and offer timely and effective assistance to ensure a positive experience
- Processes incoming and outgoing mail
- Intakes and processes payments for taxes, utilities, accounts receivable, parking tickets, by-law fines and other miscellaneous revenues
- Balancing daily cash receipts and preparing bank deposits
- Provide comprehensive support to the Corporate Services Department, assisting with various administrative tasks to enhance departmental efficiency
- Maintain the parking infraction database, filing of Notices of Conviction with the Ontario Court of Justice under the Provincial Offences Act for cases involving unresolved by-law violations. Prepares and submits POA-related documentation to appropriate authorities
- Serves as the administrative support for municipal by-law enforcement
- Assists in the preparation of reports and data summaries for Council, senior management, or regulatory purposes as required
- Assists with the preparation of Council and Committee agendas and minutes
- Tracking all municipal agreements and following up with all requirements
- Assist with revenue counting, balancing to meter reports and change machine floats as required from time to time, analyze data received from parking machines
- Other duties as assigned
Education Requirements and Skills:
- Completion of post-secondary education in Office Administration, Public Administration or a related field.
- Minimum of 2 years of relevant administrative experience, preferably in a municipal, legal, or regulatory environment.
- Familiarity with municipal government operations and by-law enforcement
- Experience with MTO ARIS or similar government registration systems is an asset.
- Working knowledge of the Provincial Offences Act and its application to municipal by-law enforcement
- Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously.
- Proficiency in MS Office applications; experience with municipal tracking software or CRM tools is an asset.
- Demonstrated customer service orientation, particularly in dealing with the public on sensitive issues.
- Ability to work independently and collaboratively in a team setting
- Excellent written and verbal communication skills.
- Ability to handle payments, issue receipts, reconcile daily transactions, and operate point-of-sale or financial software.
