Customer Care Assistant
Job Description
Provide office support to Hugh Rawling CFP, CLU, CH.F.C. The office has support from various “team members” that are close by. It is imperative that a candidate provides excellent customer care to Rawling Financial Inc.’s clients that is accurate, organized, and prompt. It must also be handled in a professional and caring way.
This allows Hugh to focus on developing new relationships and taking them, as well as existing clients, through the appropriate “Planning Trail” or “Product Trail” process. It is our goal to “WOW” each client with our attentive and proactive customer service.
Duties and Responsibilities:
- Help support sales and service of various products including segregated funds, mutual funds, life insurance, critical illness insurance, and disability insurance with our various suppliers.
- Coordinate completion of “Planning Trail Program” report, including transcribing meetings, data entry, Excel spreadsheets, and Word documents.
- Scheduling, updating calendar, confirming appointments.
- Filing and follow-up; including keeping forms up-to-date and organized
- Sort mail and prepare correspondence.
- Computers – weekly backups, maintaining computer files, using various software.
- Data entry for financial planning program.
- Coordinate publication of quarterly newsletter.
- Manage business development processes. Includes researching prospective clients and their companies.
- Help with the managing of client appreciation events.
- Ensure proper compliance measures are met and that there is a sufficient database or collection of new and existing rules. Includes ensuring compliance on website, brochure, newsletter, etc.
- Re-order office supplies as needed.
Required Competencies:
- Familiar with computers and learns new programs quickly. Proficient in use of Microsoft Office applications (Word, Excel, Outlook, etc). Experience with NaviPlan Financial Planning software would be an asset.
- Organized, detail oriented, and diligent with follow-up.
- Confident working independently.
- Excellent customer service skills.
- Excellent written and oral communication skills.
- Experience in financial services (insurance and investments) is an asset, especially with London Life, Great-West Life, and Quadrus Investment Services Ltd.
