General:
The Service Coordinator is responsible for the successful planning, scheduling and controlling of field activity as they pertain to maintenance agreements and repairs to redeem the gross margin objectives. The service coordinator is also responsible to meet the contractual commitments to customers and several support functions as outlined below. You will be required to have a flexible schedule.
Key Responsibilities:
General
- Answer telephone.
- Issue purchase orders to technicians.
- File as required.
- Ensure all employee lists are kept up to date.
- Check and approve all job invoices.
- Open and direct all in-coming mail when applicable.
- Send all mail and couriers when applicable.
- Process cheque requests when applicable.
- Order all office stationary when applicable.
Planning
- To plan and schedule all necessary labour on each maintenance agreement to the correct technician.
- To plan and schedule all maintenance tasks per the terms and conditions of the maintenance agreement.
- Develop daily, weekly and monthly workload schedules.
- Ensure files are up to date with proper equipment lists, labour schedules and billing schedules.
- Ensure all documents and files are properly set up for each new customer.
Contract Administration
- Ensure all contract information is kept current in the computer.
- Order filters for contracts.
Dispatching
- Receive service requests.
- Dispatch contracts, service calls and jobs secured by #4’s.
- Organize job files daily and forward to billing clerk upon completion.
- Continually strive to increase gross margin by reviewing Plus contracts for extras on a monthly basis, reviewing costs being charged into contracts and ensuring proper labour is utilized.
Payroll
- Check and process daily time sheets and weekly summaries for payroll.
- Enter contract time sheets into computer.
Special Projects
- Support and pursue any special projects assigned by your supervisor. These special projects may be department corporate in nature and may require extra effort above and over your regular assignment.
