Talentcor London is currently recruiting for our client, a London based multi-national organization considered a leader in the manufacturing sector.


We are looking to fill a Medical Office Administrator position to support operations by handling a wide variety of administrative duties as delegated.

Responsibilities/Tasks and Duties:

• Develop objectives for the department compatible with corporate goals and objectives

• Assist medical team in maintaining policies and procedures for Occupational Health Departments

• Prepare written materials as directed by medical team including visual presentation, letters, handouts etc.

• Schedule appointments for department

• Arrange meetings and conferences including travel plans

• Receive or obtain information to develop agenda

• Prepare summary of proceedings

• Anticipate needs of team and prepare and distribute materials as needed

• Provide creativity in developing promotional aids for health team on various wellness promotion programs

• Apply vast knowledge of organizational structure, function and respond to health care team, management and employee needs

• Develop and maintain relevant statistical data for departmental and management use

• Confirm invoices once approved by supervisor on SAP system and follow up with vendors if invoicing concerns

• Anticipate needs of department and health care team and provide interventions

• Coordinate all preplacement medicals, and report concerns to health care team and ensure all medical documents are returned by deadlines

• Lead staff meeting with department updates

• Develop and maintain a liaison with offsite Occupational Health Services team in other locations

• Communicate regularly with health care team updates on outstanding items

Basic Qualifications:

• Certificate from a Medical Office Administration program

• 3-5 years’ experience working as an office administrator

• Current knowledge of MS Office including Word, Excel and PowerPoint

• Working knowledge of Outlook, SAP and Medgate

• Excellent interpersonal, organizational and communication skills

• Current First Aid and CPR certification

• Demonstrate an interest in professional growth through continuing education

• Proactive team player
