Responsibilities
The Receptionist is the first point of contact and first impression for the company for all phone and in person queries and is expected to
- Meet and greet all visitors in a professional and helpful manner and advise host of visitor’s arrival
- Act as point of contact for a high volume of calls including client queries
- Point of contact for internal call transfers and queries
- Build and maintain professional relations with both internal and external contacts
- Effective Calendar management of all meeting rooms and bookable resources when requested including meeting set up
Office supplies and mail
- Regular monitoring of office stationary usage and Kitchen supplies
- Order placing as and when required and/or requested by management ensuring coordination with Finance
- Review, approve and record deliveries
- Distribution of mail on a daily basis
- Signing for deliveries
- Shipping and Receiving FedEx
- Coordinate expenses including collating and mailing internal to finance
- Ensure finance receives copies of all billing invoices
Work alongside the Building Manager to coordinate and support facilities administration
- Work alongside building manager to coordinate and support facilities admin
- Deal with employee requests and concerns regarding building facilities
- Administrate and coordinate all catering requests from Management
- Ensure all catering requests are ordered 24-48 hours in advance of the event
- Ensure catering orders are placed accurately and delivered on time for meetings in accordance with InfoTech guidelines and Financial allowance
- Submit receipts and invoices to Finance in a timely manner
- Ensure catering is set up
Education/Qualifications
- Experience and knowledge of Salesforce.com preferred but training will be provided
- Proven working knowledge of MS Word, MS PowerPoint and MS Excel
- College Diploma in an Administration or Customer Service related subject
- Excellent communication skills, both written and verbal
- Excellent interpersonal skills with an array of contacts e.g. customers, employees and executives
- Demonstrated ability to provide exemplary customer service
- Ability to multi-task and prioritize effectively and triage problems accordingly
- Outstanding professionalism and unfailing motivation
- Resourcefulness with the ability to creatively problem solve
- Strong time management skills and ability to work under tight deadlines
- Previous experience in a project-oriented role would be an asset
- Strong knowledge of software such as MS Word, MS PowerPoint and MS Excel
