OPERATIONS ADMINISTRATOR

(This is a newly created permanent part-time role @ 2 to 3 days/week)
(Possibility to cover for Maternity leave, November 2016 – October 2017 – 5 days/week)
 
Role
Reporting to the Vice President, Finance & Operations, is accountable for providing comprehensive operations support.
 
Key Responsibilities


Finance, Accounting  & Investment Management
  • Supports VP, Finance & Operations in the completion of month-end reporting.
  • Generates monthly, quarterly and annual financial and management reports and statistics for the CEO, Finance Committee and the Board.
  • Reviews, analyzes and presents monthly, quarterly and annual reports on investment fund performance to the Investment Committee.
  • Verify monthly or quarterly Investment Manager Reports with custodial reports; follows up to resolve any discrepancies.
  • Completion of month-end bank and investment statement reconciliation process
  
Board & Committee
  • In support of the VP, Finance & Operations, preparation of required materials for Board and Committee presentations.
  • Preparation of all key action items, minutes, as assigned by the various Board/Committee members.
 
Human Resources
  • Processes Payroll.
  • Administers Benefits package.
  • Ensures Role and Responsibilities are updated after the annual Performance Management process.
  • Ensures the HR Manual is updated as and when required.
Risk & Regulatory Management
  • Responsible for updating all documents, and testing of policies as required for all Finance & Operations procedures and controls.
  • Supporting VP, Finance & Operations in the completion of CRA & Other legislative compliance requirements (i.e. T3010 – Charitable Returns, WSIB & EHT filings, etc.)
 
Other
  • Backs up Executive, Financial and Project Administrators as and when required.
 
Qualifications
Education
  • Secondary School Diploma or equivalent combination of training and experience.
 
Training
  • College Certificate or Diploma in Administration is preferred.
 
Professional Development
  • Pursuing an Accounting, Office management and/or Risk Management diploma or designation would be an asset.
 
Skills
  • Organized.
  • Able to handle a wide range of administrative and operational responsibilities.
  • High attention to detail.
  • At least intermediate level Microsoft Office (Excel, Outlook, PowerPoint, Word).
  • At least intermediate level Financial Edge, Raiser’s Edge.
  • Commitment to collaboration with the team.
  • Ability to work independently.
  • Strong commitment to quality effort and outstanding results.
 
Experience
  • At least 2 years of experience in an Office or Finance Administration role.
  • Experience in supporting the HR, Financial reporting or Accounting, office management and/or or Risk Management functions would be an asset.
  • Experience in a Foundation or not-for-profit agency would be an asset.
 
Other
  • A current Police Vulnerable Sector Check is required.
