Sifton Properties Limited invites applications for the following full-time position:
 

 Office Assistant

 
Reporting to the Commercial Properties Administration Manager, this full-time Commercial Properties Office Assistant position will provide general assistance and administrative support within Commercial Properties and will include work assignments alternating at Head Office and One London Place locations.   
 
Duties include (but are not limited to):
  • Organize and maintain Commercial Properties files in an orderly and systematic manner, including long-term storage and pulling archived files as required.
  • Prepare correspondence and compile various reports and documents, using Word and Excel.  Ensure all correspondence meets Corporate standards and policies for formatting and presentation. Attend and book meetings, take minutes and distribute tasks as per meeting action items.
  • Assist with Commercial Properties marketing initiatives, including set up of tenant events, ticket promotion and follow-up, leasing material compilation and other projects as required. Capture tenant and competitor information as requested.
  • Prepare and maintain parking records and/or access cards, permits, calculation, validation, reconciliation and invoicing.  Complete coding of utility invoices and data entry to spreadsheets.  Perform back up data entry to Newstar system.
  • Assist with communicating maintenance requests at One London Place, and monitoring and follow up of AskUs website inquiries.   Assist with special projects as required, including implementation of enhancements to programs and new operational processes.
  Applicants should have the following qualifications:
  • Enjoy working with the public, present an outgoing and friendly demeanour, demonstrate a strong customer service focus and background.
  • Excellent communication and interpersonal skills, and a professional telephone manner.
  • Basic knowledge of the operation of standard office equipment and general knowledge of office administration processes.
  •  Demonstrated proficiency in Microsoft Office, particularly in Excel, with excellent keyboarding and data entry speed and accuracy.  Knowledge of social media platforms and aptitude for quickly learning new software applications is an asset.
  • Detail oriented, with strong organizational skills, and ability to prioritize tasks and manage time effectively, working in multiple locations.
  • Self-motivated and energetic, dedicated, flexible and able to work independently and as a positive contributor to the Commercial Properties team
Successful Criminal Reference Check and Vulnerable Persons Screening must be provided prior to beginning employment.
