Position Overview

Reporting directly to the President, the Executive Assistant provides executive and administrative support to the President and Voyago Executive team. Under minimal supervision performs a wide range of administrative activities and tasks. Ensures the smooth flow of incoming and outgoing communications. Handles complex assignments using independent judgment facilitating effective and efficient flow and processing of information and work associated with the day-to-day operations as assigned. This position is based out of our office in London, Ontario and is not remote.

Primary Responsibilities
  • Provide scheduling support including but not limited to: maintaining and managing executives calendars, booking travel and scheduling staff meetings; arranging meeting space or virtual meeting tools; developing staff meeting agendas and ensuring that participants are prepared for the meetings; ensuring that any follow-up actions resulting from the meeting are documented and completed.
  • Completes expense reports for processing and filing in a timely manner.
  • Understands business etiquette; interacts and works successfully with senior leaders of customers and suppliers to ensure that customer needs are addressed while balancing the President’s other responsibilities; researches solutions to questions and responds independently to email and phone inquiries.
  • Makes sound choices in ambiguous situations; solves issues with reason and calm in times of crisis
  • Manages the President’s email and other correspondence, responds on behalf of the President where appropriate, forwards communications to appropriate staff to respond, or brings the matter to the attention of the President
  • Develops an understanding of the President’s work style and preferences; assumes responsibilities as requested
  • Understands the structure of the organization and maintains a strong network across departments.
  • Demonstrates the highest level of confidentiality in the execution of all responsibilities.
  • Completes administrative activities and tasks in a professional and timely manner.
  • Develop and implement office management systems and procedures
  • Other duties as required.

Qualifications
  • Bachelor's degree required, preferably in a relevant field
  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Previous experience working in a dynamic, high demand work environment with specific deadlines, where the role required handling and maintenance of highly confidential and sensitive materials
  • Advanced knowledge in all Microsoft Office 365 applications (Word, Excel, PowerPoint, Outlook) as well as Adobe Acrobat
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal and time management skills
