The Administrative Officer (AO) leads a team of people who form the administrative and technical unit of the Department of Chemical & Biochemical Engineering (CBE).  The AO manages the CBE Department Office and supports the Department Chair in Chemical & Biochemical Engineering (CBE) in the administration and effective operation of the Department. The Department of Chemical & Biochemical Engineering is one of four departments within the Faculty of Engineering.  The Administrative Officer reports to the Chair of the Department, with a dotted line relationship to the Director of Administration within the Dean's Office in the Faculty of Engineering.

The Administrative Officer is responsible for managing the administrative functions of faculty and staff recruitment and appointments, weekly payroll, promotion and tenure processing, workload management, and annual performance management. In addition, the incumbent will organize department committees; ensure efficient and effective use of fiscal resources allocated to the Department by the Dean's Office; manage department invoicing, purchasing, account reconciliation; ensure compliance to collective agreements and health and safety policies and practices. The incumbent will also collaborate with the Department Chair, department committees, and department members to develop both short and long-term strategic plans which provide the overall direction for the department in the areas of budget, administration, teaching, research and department space planning for faculty and graduate students.


 Qualifications  
Education:
-   University Degree
-   Completion of some human resources and/or accounting courses at the Community College level
-   Completion of some leadership courses (i.e., CIM, Leader Effectiveness Training, or equivalent)

Experience:
-   At least 5 years experience working in an administrative role in a Faculty dealing with students, faculty and parents
-   Accounting experience including budgetary experience
-   Experience in writing formal reports and letters on behalf of a senior administrator
-   Experience working with professional schools and the professional accreditation process
-   Strong leadership and management skills (including ability to motivate staff) and a demonstrated ability to represent the department; experience in a leadership role supervising staff
-   Experience writing job descriptions would be an asset
-   At least two years experience directly supporting a Department Chair or other University Administrator strongly preferred
 
Skills & Expertise:
-   Familiarity with UWO Policies and Procedures relating to finance and human resources (including MAPP, UWOFA, UWOSA and PMA agreements), knowledge of Employment Standards and Labour Relations legislation
-   Excellent interpersonal skills, tact and diplomacy
-   Proven independent decision-making capability
-   Ability to work effectively in a team environment, including ability to contribute actively to committees and working groups
-   Strong knowledge and experience using advanced-level Microsoft Word, Excel, Outlook and FRONT PAGE (or equivalent web program), PowerPoint and Publisher; Database and PeopleSoft experience strongly preferred
-   Proven ability to communicate (written and oral) effectively and professionally at all levels, ability to present information and materials to appropriate audiences
-   Adherence to the principles of Confidentiality and FIPPA regulations
-   Good, professional attitude in the workplace; personal integrity honesty, accepts responsibility
-   Superior organizational and time management skills and the ability to prioritize workload within a fast-paced, deadline driven environment
-   Willing to work extra hours as required
