Job Description

Summary of Duties

Reporting to a designated Manager, the Coordinator, Special Events, NCWS works as part of a team to collaborate with community partners and event organizers to facilitate, support, and operate year-round special events on City of London property.  

Work Performed

As part of a team, coordinate city-wide special events, neighbourhood events, film permits and other divisional programs and supporting processes.

 

Establish and maintain external community relationships and effectively partner with diverse community groups, agencies, and event organizers.

 

Liaise with internal and external groups, supporting agencies, government agencies and other organizations for the development and implementation of events.

 

Evaluate current trends and practices through research, consultation, and experience.

 

Responsible for monitoring compliance of events with applicable policies and legislation.

 

Responsible for preparing bookings, scheduling, and organizational tasks.

 

Prepare, and recommend for managerial approval agreements and program arrangements.

 

Prepare, monitor, and recommend for managerial approval expenditures from the budgets and grants.

 

Act as a municipal liaison for community led events, including attending committee meetings as required.

 

Provide liaison services between citizens, resident groups, partner organizations or collaborations and the civic administration.

 

As part of a team, deliver initiatives, programs, and strategies to support Council-approved divisional goals.

 

Prepare for, coordinate, and make presentations at community meetings regarding special events or other divisional initiatives, seek community input, and report on progress and outcomes.

 

Collect and assess data, information, and participant feedback to evaluate effectiveness of event policies and processes.

 

Participate in the development and implementation of tools and resources to increase public awareness and stakeholder engagement for special events and other divisional goals, including development of promotional and educational material.

 

Review and recommend for managerial approval, policies and processes to support divisional goals and objectives related to special events or divisional initiatives.

 

Evaluate the effectiveness of policies and programs in meeting target goals and objectives.

 

Participate in presentations and discussions at public meetings.  Represent the Service Area on internal and external committees.

 

Participate in the preparation of reports to Committees, community partners and stakeholder groups.

 

Liaise with consultants and technical staff in the conduct of projects.

 

Liaise with the London Economic Development Corporation (London’s Film Business Concierge) on film projects located on municipal properties.

 

Liaise with Tourism London and assist operationally when hosting large scale sporting, cultural or athletic events.

 

Maintain corporate standards of customer service and administrative procedures.

 

Implement and maintain risk management programs and safety procedures.

 

Provide direction and guidance to casual staff and co-op students, as required, including scheduling.

Qualifications/Experience

Completion of an Honours University degree in areas such as community development, event planning, communications, social sciences, social services or equivalent. 

 

Ability to work a range of hours, as necessary, provide after hour and on call duties, including evenings and weekends, for special events in the city of London, within ability to perform on-call duties, in person, within 30 minutes of being called.

 

Two years of related experience in event planning or community programming is required.

Demonstrated exceptional relationship-building skills with a diversity of stakeholders.

 

Demonstrated project management skills and the ability to effectively coordinate a number of projects simultaneously.

 

Demonstrated excellent organizational and time management skills.

 

Ability to analyse problems, facilitate solutions and promote programs to effect change is required.

 

Advanced proficiency of Microsoft Suite (Word, Excel, PowerPoint) and ability to learn use of relevant software applications is required.

Compensation and Other Information

$53,111 - $76,839 (Level 13)

Current hours of Work: Monday - Friday from 8:30am - 4:30pm These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
