Job Description
Summary of Duties
Reports to the Manager Ill, Provincial Offences Court Administration. Responsible for preparing and processing required documentation associated with the Provincial Offences Courts in the Middlesex Court Service Area. Provides front counter services to the general public. Proficiency in French and English so all duties and work performed can be undertaken in both languages.
Work Performed
Receives and directs telephone calls from the general public, Provincial Offences Act defendants, the judiciary, legal community and law enforcement agencies as well as staff. Responds to general inquiries, such as the scheduled times, dates, and location for court sittings.
Retrieves general information, payment dates, offence statistics, trial dates or outstanding fine payment data from the provincial offences database in response to internal and external inquiries.
Receives and processes Certificates of Offence and Informations from enforcement agencies in accordance with legislated requirements.
Enters data from Certificates of Offence and Informations into the provincial offences computer system. Receives, processes, records and distributes incoming mail.
Enters fine payments, which are mailed, emailed, or phoned in by defendants, into the provincial offences computer system.
Sorts, checks and files PON data/information. Prepares and maintains appropriate documents for the administration of the Provincial Offences courts.
Investigates and corrects database record errors and analyzes information to ensure that the record to be maintained is complete and accurate.
Receives and directs clients at front counter to appropriate Courtrooms, answers general inquires, or receives payments. Provides customer service to the general public and court clients, either at the front counter or by telephone.
Schedules trials, maintains the associated court records/files, and tracks court matters using the provincial offences computer system and related databases.
Prepares letters, reports and statements relating to Provincial Offences.
Prepares and mails out public reminders, notices of fine and due date, notices of trial, notices of first appearance, and other correspondence as required to ensure payment of outstanding fines.
Prepares daily bank deposits.
Provides and assists in completion of court forms.
Provides general office orientation to new staff and assists others with interpreting and using the provincial offences computer systems, as required by the Manager.
Performs duties of the Court Reporter/Clerk-POA, as required. Acts as Clerk of the Court, as designated.
Performs other related duties as assigned.
Qualifications/Experience
Relevant Court-focused or Paralegal Community College Diploma or similar certification.
Two to three years' court-related experience.
Specialized Training & Licenses
Typing speed required is 40 w.p.m.
Working knowledge of the Provincial Offences Act and related regulations governing provincial offences administration.
Compensation and Other Information
$47,177 - $66,841 (Level 10)
This job is currently under review.
Current hours of Work: Monday - Friday from 8:30am - 4:30pm
These hours of work are subject to change in accordance with the Collective Agreement and may include evening hours and Saturdays.
This is a permanent position being filled on a temporary basis for up to 2 years.
