Job Description

Reporting to the VP Neighbourhood Developments, this position is responsible for organizing and providing a variety of administrative support activities for the Neighbourhood Developments team.

 

Responsibilities Include:

• Perform general administrative duties working in the reception area: responding to inquiries; creating, formatting and editing correspondence, charts, proposals and reports; photocopying, scanning, faxing; sorting, prioritizing and distributing incoming and outgoing mail. 
• Prepare and amend offers to purchase, proposals and management agreements for all properties/joint ventures.
• Create, maintain, distribute, and monitor weekly status minutes of all Neighbourhood Developments activities, according to procedure; track progress of all projects and follow up appropriately to ensure tasks are progressing adequately to meet deadlines. Produce and distribute project status reports as agreed upon with project leader. 
• Coordinate and maintain appointments and schedules of department staff
• Prepare and follow up with invoices and other tracking related to accounting functions.
• Implement and maintain effective filing systems for the team.

Experience & Qualifications:

• Previous experience in an administrative support role
• Post-secondary certificate or diploma in Office Administration, or related qualifications.
• Customer service orientation and the ability to work collaboratively, with excellent follow-through and attention to detail. 
• Experience in managing incoming and outgoing business correspondence, preparing documents and reports and coordinating schedules and meetings.
• Proficient in Microsoft Office products and the operation of standard office equipment. Project management software knowledge is a strong asset. 
• Familiarity with real estate and related transactions, processes and procedures, including preparing, tracking and updating Agreement of Purchase and Sale documents is preferred.
• Be detail-oriented and organized, self-motivated and flexible, with ability to effectively prioritize multiple projects and demands
• Possess sound judgement, problem-solving and decision-making skills, supported by clarity of written and verbal communication 
• Professional telephone and reception skills
