The Schulich School of Medicine & Dentistry provides outstanding education within a research-intensive, distributed learning environment, where tomorrow’s physicians, dentists and health researchers and other scholars learn to be socially responsible leaders in the advancement of human health. The Schulich School of Medicine & Dentistry is the largest Faculty on campus and employs over 2,000 part-time and fulltime faculty and over 1,000 staff.

The Centre for Studies in Family Medicine (CSFM) is an interdisciplinary team of investigators, research, and administrative staff (approximately 50 members at present) recognized nationally and internationally as leaders in family medicine and primary health care research. We, at CSFM, conduct, foster, disseminate, implement excellent interdisciplinary research in family medicine, primary care, health systems and community health.

Responsibilities
The Administrative Assistant supports the day-to-day operations of the Office, including providing administrative support for research, including physical, financial, and information resources. The role maintains websites and social media accounts, drafts graphics, and compiles and distributes communications materials and correspondence to internal/external stakeholders. The Administrative Assistant coordinates schedules and logistics for committees, meetings, and events, and arranges procurement processes for equipment and office supplies, and facilitates access to technology and physical space.  The role processes various financial transactions, assists with research grant summaries and dissemination, and supports the coordination of building and facilities management processes for CSFM.

Qualifications
Education:
-   2 year Community College Diploma in Business Management/Administration or other relevant field

Experience:
-   3 years' experience providing administrative support in an office setting
-   Experience in a University or research environment an asset preferred

Knowledge, Skills & Abilities:
-   Knowledge of financial principles and processes
-   Familiarity with quantitative and qualitative research and literature reviews
-   Ability to apply active listening to hear and understand the complete message being communicated
-   Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience 
-   Ability to establish rapport with people from diverse backgrounds
-   Ability to follow formal business practices with high attention to detail
-   Ability to interact professionally with students, staff, faculty, and other members of the University community
-   Personable and courteous in working relationships with colleagues, students and the public
-   Ability to maintain a positive, outgoing attitude with genuine customer service orientation
-   Ability to multi-task and maintain an organized and effective personal work environment
-   Ability to work independently and effectively as a member of the team to achieve department goals
-   Competency to maintain confidentiality and treat sensitive information with discretion
-   Demonstrated ability to understand and resolve external and internal partner issues
-   Intermediate proficiency required in Microsoft Office Suite to prepare communications, graphics, research grant funding reports, input departmental data into spreadsheets and databases; skills with Canva preferred
