Intermediate Law Clerk/Legal Assistant – Family Law Department
Our Family Law Department is seeking an intermediate law clerk/legal assistant to provide consistent document preparation and administrative support. The successful candidate will be expected to manage and prioritize various tasks in accordance with the lawyers’ and law clerk instructions. Our Family Law Department is client oriented and is dedicated to providing efficient, high quality work in a collaborative and professional manner.
Responsibilities:
Develop an understanding and working knowledge of the firm's procedures for document production.
Perform quality control of own work, seeking clarification when necessary, and reviewing work of others as required.
Prepare correspondence and assist the department with the preparation, maintenance and updating of legal documents.
Respond promptly to requests, meeting deadlines and work cooperatively with other departments and individuals in the firm, as needed.
Apply strong word processing expertise using Microsoft applications for document production.
Proactively manage workload fluctuations.
Manage the intake process of all document production requests, which includes prioritizing and coordinating work for completion.
Document, log, track and respond to calls, emails, and voicemail in a timely manner.
Maintain an electronic filing system and file and keep all matters updated and current.
Use firm's accounting software to prepare billings to clients.
Perform routine administrative tasks in accordance with firm and department policies and procedures.
Other duties as assigned.
Qualifications:
High level of proficiency using Microsoft Word, Primafact, Divorcemate and other software applications required.
Excellent skills in spelling, grammar and writing.
Strong interpersonal communication skills, both oral and written.
Self-starter with extraordinary organizational skills, the ability to prioritize and manage projects independently.
Excellent interpersonal skills and telephone manners.
Ability to correspond effectively and respectfully with clients.
Well organized with meticulous attention to detail and strong proof-reading skills.
Personable, approachable disposition, with an ability to handle pressure/stress.
Well-developed analytical and problem-solving skills, with the ability to deliver creative solutions.
Confident in working independently, prioritizing and making day-to-day decisions, with the judgment to seek supervisory assistance when appropriate.
Ability to type with a speed of 50 to 80 words per minute.
Diploma from a recognized Ontario Law Clerk program.
In-depth understanding of business and legal terminology as well as the Rules of Civil Procedure/Family Law Rules.
