Administrative Assistant, Strategic Sourcing

Medbuy’s Division of Strategic Sourcing is currently searching for an Administrative Assistant for a position based in London, Ontario. The Administrative Assistant, Strategic Sourcing will be responsible for a wide variety of clerical and administrative support under the direction of the Coordinator, Strategic Sourcing and/or Manager, Strategic Sourcing.

DESCRIPTION

Overview of Duties
1. Administrative Support
  • Assist with surveys as directed
  • Assist to maintain and keep current, information pertaining to contact details for Members, suppliers and strategic alliances
  • Maintain high standards of outgoing written material
  • Filing – incoming correspondence, contracts (process)
  • Work closely with other Administrative Assistants in a team environment
  • Provide phone relief on a rotation basis of 8 a.m. to 4 p.m. and 9 a.m. to 5 p.m.
2. Management Support
  • Scheduling of Committee and internal meetings
  • Arrange conference calls for Committee members, suppliers and strategic alliances
  • Assist in the preparation of presentation materials as required
3. Contracting Support
  • Update and maintain contracts as directed
  • Maintain Committee and supplier contact lists as directed
  • Update and maintain all related documents and files as directed
4. Additional Duties
  • Arrange surveys for Coordinator, Strategic Sourcing and other corporate functions
  • Assist to maintain and keep current, information pertaining to the facsimile machine and telephone listings for the Corporation
  • Maintain high standards of outgoing written material – minutes, agendas, correspondence, support documentation, etc.
  • Maintain vendor database as directed
  • Maintain Member data lists as directed
  • Maintain standard corporate form(s), letters/documents and filing of same
  • Support day-to-day Strategic Sourcing operations
  • Other duties as assigned.
Required Skills & Behaviours:
To be successful individual will demonstrate:
  • Proficiency in all aspects of MS Office and electronic communication
  • Proficient communication skills both written and oral
  • Proficient keyboarding skills
  • Organizational/time management skills
Qualifications:
  • Minimum OSGD or equivalent
  • Minimum 3 years previous experience with Administrative responsibility
  • Minimum 3 years experience in business environment
  • Understanding of medical/pharmaceutical terminology
  • Education/experience in basic financial accounting
Preferred Skills & Behaviours:
  • Bilingual
  • Experience in a healthcare-related field
