We’re hiring an experienced Administrative Assistant for an exciting contract role in London, ON. Our client is a reputable educational institution in need of an Administrative Assistant in their Advancement department as Alumni Relations Coordinator. RESPONSIBILITIES:
  • Responsible for providing full-scale administrative support for bi-annual Board of Directors meetings; events help by the alumni Chapters and more than 25 Ambassador programs around the world.  This includes composing email event communications, reserving rooms, tracking RSVPs, collecting and processing event registration payments and invoices, confirming menus, coordinating all A/V needs, and preparation of briefing materials.
  • Provide full-scale administrative support to the Director, Alumni Relations and Alumni Relations Associates.
  • Database management: Develop and maintain routines to regularly update the Millennium alumni and prospect database and central files.
  • Marketing/Social Media: Design and produce marketing materials to promote various events organized by the Alumni Relations Departments and Alumni Chapters.  Manage social media tools, Twitter and Facebook.  Responsible for composing, scheduling and following up on all social media inquiries.
 
QUALIFICATIONS:
  • Minimum of 3 years administrative experience supporting senior management personnel
  • Excellent verbal, written and interpersonal communication skills and confidence in dealing with all levels of an organization
  • Ability to provide superior customer service to alumni in a fast-paced, professional and client centric environment
  • Able to handle multiple tasks and prioritize in order to meet tight deadlines and changes
  • Intermediate computer skills in Microsoft Office Suite, Outlook, Email and Internet
  • Advanced skills in website maintenance Facebook, LinkedIn and Twitter
  • Ability to write effectively and persuasively

ADDITIONAL REQUIREMENTS:
  • Criminal background check is required
 
EDUCATION/CERTIFICATIONS/LICENSES:
  • Minimum two- year college diploma from a recognized community college
