Job Description

Veresen is hiring a Plant Administrator for its London, ON plant. The role will be temporary with no predetermined end-date at this moment. Opportunity for this to become full-time employement is available.

Veresen is a publicly-traded dividend paying corporation based in Calgary, Alberta, that owns and operates energy infrastructure assets across North America. Veresen is engaged in three principal businesses: a pipeline transportation business comprised of interests in two pipeline systems, the Alliance Pipeline and the Alberta Ethane Gathering System; a midstream business which includes ownership interests in a world-class natural gas liquids extraction facility near Chicago, the Hythe/Steeprock gas gathering and processing complex, and other natural gas and NGL processing energy infrastructure; and a power business with a portfolio of assets in Canada and the United States. Veresen is also actively developing a number of greenfield projects, including the Jordan Cove LNG Project located in Coos Bay, Oregon. In the normal course of its business, Veresen regularly evaluates and pursues acquisition and development opportunities.
 
THE POSITION
The Plant Administrator supports the team to improve efficiency and effectiveness of the team as a whole through a variety of commercial, safety, environmental, community and administration tasks. As part of a small owner’s team, the Plant Administrator holds a core role to assist with effective communication and team effectiveness through a proactive and supportive admin function.
 
The Plant Administrator priority is ensuring the team and management is effective day-to-day, such that the plant operators & maintainers can focus on operational and maintenance priorities.
 
Successful applicants will be team-oriented, self-motivated, and have a desire for continuous learning while working across a diverse range of skill sets. Proactive and positive communication is essential to be effective in this role.
 
KEY ACCOUNTABILITIES
  • At all times the Plant Admin is accountable for maintaining and enforcing the highest standards of safety, environmental compliance and neighbourly conduct.
  • Maintain a log of workplace hours and prepare monthly summaries for Veresen Safety & Health reporting.
  • Record & report IPAD Based Sign In Station data
  • Raise requisitions in SAP, process invoices through our Accounts Payable Team, assist the Plant Managers to efficiently approve / code invoices and payments.
  • Review staff timesheets for accuracy, provide details to Payroll Dept.
  • Receive goods & services in SAP Accounting Software
  • Manage Vendor setup and changes in SAP for the Facilities
  • Compile monthly plant production data and prepare for Plant Manager/Asset Management Review
  • Prepare monthly customer invoice file & distribute invoices to customers
  • Maintain the One 1 Call site & Utilicate Software for our distribution system
  • Monitor and replenish general site consumables (washing liquid, condiments, dishwasher powder, clothes washing powder, bulk TP, tissues, cleaning agents etc)
  • Manage site printer / photocopier contracts & services
  • Order workplace uniforms and clothing as required
  • File and archive site documentation and contracts
  • Plan, implement and participate in community sponsored events
  • Ensure general site insurance is maintained for site vehicles and WSIB
  • Maintain site WHMIS/GHS licences
  • Maintain MSDS Binders System
  • Gather and maintain the site’s mail and mailbox, ensuring any bills or invoices are appropriately managed, such as municipal rates, property taxes, work truck vehicle toll-bills, electricity, phone bills, satellite phone etc
  • Manage couriers, and site courier accounts and materials
  • Maintain the site training matrix, and ensure your training is maintained to site requirements
  • Ensure training materials for site orientations is available and maintained
  • Maintain site contractor training records, WSIB and liability insurance records
  • Reconcile credit card statements and expense reports
  • Assist team meetings, including where necessary, catering orders and taking minutes
  • Create and maintain a site contract list that outlines agreement timeframes, expiry and work scopes, including cleaning contract, floor mats and the waste management contract
  • Manage visitors and contractors entering and leaving the site, including ensuring appropriate orientations
  • Manage commercial accruals with assistance of the team and Plant Manager
  • Communicate within the team for purchase details, and assist team to track material and service orders
  • Print, file and maintain environmental certificates in permitting folders
  • Complete general administration tasks
QUALIFICATIONS
  • Must be proficient at using computer applications for planning, purchasing, communications (emails) and operating
  • Previous experience with SAP is an asset
  • Ability to work extended hours if and when required (with consultation).
  • Ability to productively work independently and as an overall integral plant staff team member.
  • Excellent communication skills, successfully communicating across a team that works varying shifts, and with key stakeholders located at other regional centres.
  • Ability to balance competing priorities across multiple facilities
  • Holds a valid driver’s license. 
SAFETY

Due to the high energy state of equipment in the facility, this position is deemed a safety sensitive position. A pre-placement job-related medical exam is conducted for all safety sensitive positions.

LOCATIONS
This position is located at the London District Energy facility located downtown London, Ontario. From time-to-time the role may require travel within Canada.

London District Energy is a District Energy and Combined Heat and Power facility located in downtown London, Ontario. It supplies heating, cooling and energy supply options and services to businesses and institutions at the community level. London’s district energy systems offer a cost-competitive, cleaner and greener alternative to heating and cooling buildings currently using in-house boilers and chillers. It also supplies electricity to London’s downtown with an 18MW CHP Unit.
