Position Overview:
Working directly with a leading broker, the successful applicant will be responsible for day to day administrative duties in a professional financial services firm.  Each day you will hit the ground running prepping for daily appointments, organizing schedules and completing a variety of administrative tasks.  In this role you will be dealing with a variety of successful clients; confidentiality is paramount.
 
Responsibilities:
 
  • Schedule and arrange meetings
  • Send mailers; email or courier reports
  • Receive, direct and relay telephone calls, messages and faxes
  • Format, review and proofread business materials, including client documents, reports, memos, briefings, presentations, and other items
  • Manage, maintain and update contacts, client files and routine calendaring items in online systems
  • Provide back-up support to Reception and other support staff
  • Organize and assist with monthly seminar for new clients including venue booking; 1 evening per month is mandatory
 
Your expertise includes:
 
  • Previous administrative experience is required; no less than 2 years
  • Experience working in the financial industry is preferred
  • Exceptional customer service and people skills
  • Ability to discretely handle highly confidential information
  • Experienced in supporting multiple individuals and balancing schedules, client meetings and client support administration
  • Strong general computer skills including Word, PowerPoint, Outlook, and Excel
  • Experience with Salesforce
  • Experience with social media and online communications
  • Strong work ethic; desire to succeed
  • Able to deal with a variety of people and handle stressful situations
  • Proactive thinker
  • Outstanding communication skills (both written and verbal)
  • Highly organized; able to handle multiple responsibilities with ease
  • Valid driver’s license and reliable transportation are required
  • Clear criminal and credit will be required for successful candidate
