The Child and Youth Development Clinic (CYDC) is a training facility for the School and Applied Child Psychology program in the Faculty of Education and the Speech and Language program in the Faculty of Health Sciences. PhD/doctoral students in School and Applied Child Psychology and Master's students in Applied Behaviour Analysis, under the supervision of registered doctoral psychologists, and speech and language therapists, provide evidence-based assessment and interventions to children and youth, ages 3 to 18 years, within a rich interdisciplinary environment to ensure they have the best opportunity to succeed. Initially, there will be approximately 20 students and 15 faculty members involved in the Clinic.
 

The Administrative Officer will facilitate the administrative, human resources and financial functions and processes to ensure smooth and efficient coordination of operations within the Child and Youth Development Clinic. The incumbent will provide guidance and support related to clinic processes and regarding various administrative functions, ensuring compliance with relevant legislation and Western's policies and procedures. The incumbent will participate in the development of administrative processes within the clinic, and will implement and monitor processes, identifying opportunities to support continuous improvement and the use of best practices. The Administrative Officer will ensure a welcoming and professional environment, and the delivery of courteous and efficient service to Faculty, Researchers, students, clients and other visitors and stakeholders. The incumbent will be a first point of contact and assist in the resolution of issues, respond to a variety of inquiries, and monitor and manage physical and financial resources and supplies.

 

Qualifications

 

Education:

- Undergraduate Degree in Business Management/Administration

- Completion or working towards Chartered Professional Accountant Designation and/or Certified Human Resources Professional

 

Experience:

- 5 years' administrative, human resources and financial experience in a complex office environment

- Experience overseeing staff

- Experience in a clinic, medical office, dental office or similar environment

 

Knowledge, Skills & Abilities:

- Knowledge of the best practices for assessing, developing and implementing new business processes and procedures

- Familiarity with financial budgeting, Human Resources principles and practices

- Ability to ensure expenditures and resources are within allotments, and to make appropriate modifications when required

- Verbal communication skills to translate information into easily understood terms, summarize information, and provide a rationale for action

- Communication skills with an ability to complete detailed analytics and reports

- Ability to work in a manner that models best practices in confidentiality standards

- Ability and willingness to employ a consultative and collaborative approach to addressing issues and making decisions

- Customer service skills to understand customer needs and expectations, with a desire to deliver helpful and reliable service to the University community

- Detail-oriented with an ability to function and process information with high levels of accuracy

- A well-defined sense of diplomacy, including solid negotiation and conflict resolution skills

- Ability to work in a fast-paced environment, meet tight deadlines and adapt to changing priorities

- Intermediate computer skills in Microsoft Office Suite with the ability to learn new software; skills with client relationship management software

- Possess a reputation for resourcefulness with a strong sense of accountability and initiative

- Influential interpersonal skills that build positive and strong relationships at all levels of the organization

- Organizational skills to manage multiple assignments that are accurate and thorough, sometimes of a complex nature or involving competing priorities

- Problem solving skills with a sense of urgency in resolving issues and getting tasks completed

- Ability to work independently and effectively as a member of the team to achieve department goals

- Knowledge of general office procedures

- Familiarity with University policies and procedures preferred
