Part-time Customer Service Representative (BSD 201400204)

Location:  London
Employment Group:  Support
Salary:  $16.77 per hour
Hours of Work per Week:  Up to 24 hours per week
Closing Date:  July 30, 2014
 
Note:  This is a part-time temporary position (up to 24 hours per week) until December 24, 2014.

Duties:  Under the guidance of the Accounting and Awards Coordinator, the incumbent will perform the following tasks:
  • Promote opportunities from external organizations to College community
  • Track and process payments related to scholarships received from outside organizations
  • Recommend opportunities to students based on criteria and student characteristics
  • Review gift agreements within portfolio to ensure criteria meets department's standards
  • Evaluate and process referral requests
  • Administer the promotion, selection and presentation process of various entrance scholarship programs
  • Provide guidance and instruction to students completing applications including direction, clarification, and demonstration of correct methods
  • Assist with reviews of submitted bursary applications (i.e. validating documents and/or information submitted)
  • Communication to students and College personnel
  • Requisition cheques for recipients
  • Prepare charge forms as needed for recipients
  • Report to College personnel, donors and various government agencies
  • Assist with the collection of social insurance information for T4A purposes
  • Maintain department Access database which includes day-to-day administration as well as creating necessary reports/forms
  • Perform purchasing functions for department including entering requisitions into College's financial system
  • Department's official petty cash custodian
  • Create and maintain department's promotional material and giveaways
  • Maintain/monitor department's website content and social media accounts (i.e. Facebook, Twitter)
  • Release award cheques following Department/College protocol
  • Maintain supplies and marketing material inventory
  • Maintain various display cases and boards
  • Assist with scanning all incoming and existing documents into the ImageNow data storage system
  • Provide reception and filing support to the Student Awards office
  • Check and respond to Student Awards email accounts and phone messages
  • Answers inquires as well as analyzes student questions and background information to determine appropriate recommendations and courses of action
  • Assist Student Awards office team with tasks as required
  • Provides support to Manager as required
  • Performs miscellaneous tasks as assigned by the Manager
  • Completes special projects related to Task Force work, Department Enabling Plan, etc.
Qualifications:
  • Post-secondary 2 year diploma in Office Administration
  • Minimum of 2 years experience working in a customer focused environment
  • An equivalent combination of education and experience may be considered
  • Excellent computer skills in MS Office, including word processing and spreadsheets
  • Excellent interpersonal, communication, analytical and problem solving skills are required
  • Attention to detail and the ability to process large quantities of information in an efficient and accurate manner are a must
  • Knowledge of and experience with Microsoft Access is a must
  • Knowledge of Datatel, LFACS and MET are assets
 While transcripts are not required for the interview, they are mandatory prior to any offer of employment.
