Job Description

We are seeking to add an experience Condominium Office Administrator to our team to assist in the management of a condominium building located in London.

As the Office Administrator this position is the first point of contact for the Condominium Corporation to the residents, staff and service personnel who visit the office.
 
Relationships
  •  Reports to the Property Manager
Basic Functions
  • Maintain the strictest confidence in regard to any resident’s unit, personal and/or financial information
  • Exceptional customer service is paramount to the job
  • Answer telephones, direct calls and take message
  • Maintain and update filing, inventory, mailing and database systems either manually or by use of computer
  • Communicate with residents, employees, contractors and other individuals to answer questions, disseminate or explain information, take concerns, and address complaints
  • Operate office machines such as photocopiers and scanner, facsimile machines, voice mail systems and personal computers
  • Collect and prepare mail, contracts, invoices and or cheques
  • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail
  • Complete, copy, sort and file records of office activities, business transactions, and other activities
  • Process and prepare documents as required
  • Type, format, proofread, and edit correspondence and other documents for distribution
  • Monitor security and FOB entry system throughout shift
  • Complete work order schedules in e-maintenance system and google calendar and create purchase orders for maintenance personnel
  • Review files, records, and other documents to obtain information to respond to requests
  • Create and deliver notices to residents
  • Inventory and order materials, supplies, and services for the office and other employees
  • Troubleshoot problems involving office equipment, such as computer hardware and software
  • Assist in ensuring compliance with the Declaration, By-laws and Rules of the Corporation

  • Ability to take on leadership role and ensure smooth operation of building
  • Great team-player
  • Strong customer service skills with proactive approach
  • Excellent written and oral communication skills
  • Excellent computer skills with proficiency in Microsoft Word, Excel, and Outlook (E-Maintenance experience would be an asset)
  • Excellent time management skills
