Marketing & Sales Administrative Assistant

Key focus:

  • Supports the sales process from quotation to order completion;
  • Supports the marketing strategies by collaborating with internal MS Team, clients and partners to coordinate marketing projects and conduct market research;
  • Responsible for the follow-up and coordination between various stakeholders - sales teams, customers, different divisions of the company and other strategic partners.
 

We require an administrative assistant who will be responsible for:

  • End to end order management (pre-production) which includes processing of customer requests for quotes, present offers and shipping of sample parts
  • Develop North American marketing communications campaigns, across all media types with an emphasis on direct, digital and event marketing
  • Entry and management of customer data
  • Customer relationship management using CRM (Act and/or Microsoft Dynamics), other appropriate programs and the ERP module
  • Lead implementation for new or updated CRM and ERP systems including training of MS department staff in these areas
  • Development and coordination of strategic marketing initiatives (i.e.: trade shows, events and newsletters) to augment company presence in the NA market. Involves occasional travel
  • Communicate directly with customer to review specifications and requirements for inclusion in RFQs
  • Assist sales representatives with RFQ specifications and requirements
  • Support Environmental, Health & Safety initiatives throughout the facility, ensuring safety, housekeeping and quality standards are maintained
  • Perform other duties as assigned.

Do you have?

  • College Diploma in Business Administration or Marketing, recognized apprenticeship or equivalent
  • 2-3 years’ inside sales experience preferably within the medical and automotive industries
  • 2 years experience working with a CRM
  • Operational experience in data entry using ERP
  • Experience setting up events such as trade shows and company events with at least 50 attendees including travel arrangements
  • Training or experience in blue print reading

Successful candidate will also have:

  • Demonstrated competence in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
  • Understanding of the business process for RFQ’s and Purchase Orders
  • Professional approach in representing the company as the fist point of contact for customers
  • Strong customer focus, team player, innovative and self-motivated
  • Detail orientation with the ability to prioritize and manage change in a high pressure environment
  • Excellent verbal, written and interpersonal communication skills and confidence in dealing with all levels of an organization
  • Highly organized and good follow-up skills
  • Strong attention to detail and proofreading abilities
